Job Description Summary
The purpose of this position is to provide administrative and direct support to the Contractor Resource Center (CRC) staff and to communicate with internal and external entities.
Provide routine administrative support. Answer phones, greet general public, answering questions or directing to other staff. Assist clients in registering for events. Order, receive and distribute office supplies. Assist with documenting Standard Operating Procedures (SOP’s) and assist Program Manager with events.
Assist businesses with various aspects of bidding on projects to include bidding process, documentation and finding bidding opportunities. Maintain CRC website including updates for events, resources and information. Weekly email campaign, flyers, social media postings, coordination with other college departments, external organizations or government agencies.
Assist with seminar marketing, coordination, and documentation. Follow up with clients.
Provide exceptional customer service to all clients/students.
Other duties as assigned.
Continuation of this position is contingent upon the continued availability of contract funds. There is no right or expectancy of continued employment beyond the terms of the employment agreement.
Minimum Qualifications
Associate’s degree AND three (3) years administrative support related experience.
Required Job Knowledge, Skills, Abilities
General use of fax machines, copiers, printers and email.
Excellent verbal and written skills.
Minimum of one year experience with social media platforms (FB, Twitter, Instagram, and LinkedIn, etc.).
Intermediate Level – Recent versions of MS Excel, MS Word, PowerPoint, Adobe Acrobat and Outlook.
Intermediate Level – Electronic file management skills, organizing and analyzing.
Intermediate Level – CANVA and Constant Contact.
Strong skills researching, organizing, editing, and presenting information
Ability to multitask, self-manage, collaborate with staff, maintain confidentiality.
Preferred Qualifications
Bachelor’s degree.
Three (3) years of relevant administrative experience.
Experience with graphic design.
Experience with large industry and prime commercial contracting.

- Conduct initial intake for clients and enter them into NeoSerra
- Greet and direct walk-ins to appropriate advisors or department
- Maintain center’ inbox
- Order, receive and distribute office supplies
- Assist with documenting standard operating procedures, productivity, quarterly and yearly reports
- General use of fax machines, copiers, printers and emails
Seminar Marketing & Coordination
- Create and publicize seminar registration in client management system
- Place events in CRC outlook calendar and united chamber events calendar
- Submit room request for every seminar
- Create graphics and promotional materials using Canva
- Generate and maintain the Constant Contact database and weekly email campaigns
- Promote events through social media platforms and email campaigns
- Create and proofread quarterly newsletter piece
- Create and maintain content for CRC social media sites
- Assist Program Manager with special events or networking events
- Call and confirm registrants one day prior to event and email instructor with results
- Create sign-in sheets for all events and document attendee information
- Maintain CRC website
Client Contacts
- Phone contact and follow up with seminar attendees, presenters, clients and staff
- Assist businesses with various aspects of bidding on projects including viewing projects on a construction software bid tool
- Assist clients with initial assessment checklists and information to get them prepared before initial session
- Coordinate with plan room to print commercial plans and specs for clients
- Craft informational tools for clients in commercial contracting areas
