Position Overview
We are seeking a highly organized, detail-oriented Legal Assistant / Paralegal / Legal Admin to provide critical administrative, compliance, and legal support within our Legal Department. The ideal candidate is proactive, eager to learn, and capable of balancing multiple priorities in a fast-paced environment. This position offers the opportunity to gain hands-on experience in insurance compliance, contract management, and regulatory filings. The role provides a strong foundation for professional growth with genuine potential for increasing responsibility and the opportunity to develop ownership of key processes over time.
Key Responsibilities
Administrative & Legal Support
- Provide top-level administrative support including scheduling, filing, scanning, and document management.
- Support in-house Legal and outside counsel with research, document collection, matter management, and special projects. This includes collecting appropriate documentation needed to resolve outstanding matters.
- Oversee the efficient storage and retrieval of legal documents,.
- Maintain organized records of filings, contracts, and correspondence.
Compliance & Licensing
- Coordinate with external consultants and legal partners to complete filings and regulatory tasks.
- Maintain compliance & legal records in an organized manner.
- Aid in regulatory/form filings across appropriate states.
- Monitor filing statuses and respond to regulator inquiries in a timely manner.
- Track, maintain, and renew state licenses for vehicle service contracts (VSC), vehicle protection plans (VPP), and service contract provider (SCP) filings.
- Assist with preparing regulatory filings through platforms such as SERFF and OPTins,
- Maintain compliance databases (e.g., Monday.com) and ensure all expiration dates and deadlines are met.
Qualifications
- Bachelor’s degree in Business Administration, Legal Studies, or related field (Paralegal Certification preferred).
- 2 years of experience in legal administration, compliance, or paralegal support.
- Familiarity with insurance compliance, licensing, and/or SERFF filings a strong plus.
- Tech-Savvy with Proficiency with Microsoft Office Suite (Outlook, Excel, Word), Monday.com, and document management tools (Adobe, DocuSign, etc.).
- Strong written and verbal communication skills with a professional, detail-oriented approach.
- Ability to multitask, prioritize, and meet strict deadlines in a fast-paced environment.
- Self-motivated, adaptable, and able to collaborate effectively with internal teams and external partners.
- Knowledge of insurance or automotive industry regulations a strong plus
