Responsibilities
- Manage calendar schedules using Microsoft Outlook Calendar and Google Workspace, coordinating appointments, meetings, and deadlines with precision.
- Provide executive administrative support by preparing documents, proofreading correspondence, and handling transcription tasks efficiently.
- Assist with event planning activities, including logistics coordination, venue arrangements, and attendee communication to ensure successful events.
- Handle front desk responsibilities including greeting visitors, answering multi-line phone systems with professional phone etiquette, and directing calls appropriately.
- Perform clerical tasks such as proofreading documents, managing office emails, and supporting project coordination efforts across teams.
- Provide general administrative support, including answering phones, managing emails, and handling correspondence
- Schedule meetings, depositions, and court appearances
- Maintain and organize office files and records (electronic and physical)
- Assist with electronic filing in Pennsylvania and New Jersey state and federal courts
- Support attorneys and staff with basic legal administrative tasks as needed
- Manage and update the firm’s social media accounts (e.g., LinkedIn, Instagram)
- Assist with marketing initiatives, including drafting posts, coordinating content, and maintaining consistency in branding
- Order office supplies and assist with general office management
Qualifications
- Proven experience in an administrative or office environment with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools.
- Excellent typing speed combined with meticulous proofreading and transcription abilities.
- Familiarity with office management systems including filing, document signing platforms like DocuSign, and multi-line phone systems.
- Prior experience in event planning, bookkeeping (QuickBooks preferred), or project coordination is highly desirable.
- Strong communication skills with professional phone etiquette and customer service orientation.
- Ability to multitask efficiently while maintaining attention to detail in a fast-paced setting.
