We are seeking an experienced hands-on Bookkeeper & Compliance specialist to own monthly bookkeeping and recurring compliance execution across our portfolio of companies. This role will be responsible for accurate monthly bookkeeping, supporting the payroll function, managing state & local tax filings (sales, property, annual reports) & insurance renewals, and assisting with other Finance team functions as needed.

This role will be responsible for accurate monthly bookkeeping, supporting the payroll function, managing state & local tax filings (sales, property, annual reports) & insurance renewals, and assisting with other Finance team functions as needed.
Key Responsibilities:
Monthly bookkeeping & close (multi-entity):
- Maintain accurate books for 8-15 simple entities, including transaction coding and recurring journal entries.
- Complete monthly bank, credit card, payment processor reconciliations.
- Prepare and maintain clean supporting schedules (prepaids, accruals, etc.). o Identify issues early and escalate appropriately.
- Manage AP workflows (vendor set up, cc authorizations, bill-pay)
- Maintain vendor files, W-9s and 1099 support schedules
- Support AR workflows as applicable (recurring invoice set-up, customer inquiries, etc.)
- Assist the HR and Payroll Manager with coordinating biweekly payroll
- Support the onboarding and set-up processes for new employees
- Assist on state account set-up & resolution of notices
- Complete sales tax registrations, filings, and remittances (multi-state)
- Complete property tax filings and coordination, including maintenance of fixed asset schedules
- Manage other business licenses, annual reports, state/local requirements as needed
- Field and solve incoming tax or compliance notices for portfolio companies
- Administratively manage insurance renewal process for portfolio entities
- Work with Finance Team Coordinator to maintain insurance policy documentation, schedules, COIs
- Support Senior Accountant and HR & Payroll Manager on workflows as needed
- Maintain strong documentation across workstreams
Experience & Skills:
- 5 years of full-charge bookkeeping, with experience in QuickBooks Online
- Experience in sales tax & state / local filings
- Experience in payroll management, preferred
- Proven experience working in a multi-entity environment
- Highly organized, detail-oriented and deadline-driven
- Ability to work independently and as part of a team in a fast-paced environment.
Salary : $65,000 - $75,000
