Responsibilities:
This position plays a central role in maintaining the operational backbone of the Marketing department. Responsibilities include but are not limited to,
- Assist with preparation and assembly of proposals, qualifications packages, and marketing materials
- Format documents in Microsoft Word and Adobe InDesign in accordance with firm standards
- Maintain and organize proposal files, templates, and marketing collateral
- Support submission coordination (digital and hard copy)
- Maintain CRM date (Unanet/Cosential or similar platforms preferred)
- Support file structure management and digital library organization
- Assist with tracking opportunities and proposal workflows
- Help develop and refine marketing processes and templates
- Assist with implementation and refinement of AI tools used in proposal development
- Learn and support marketing automation workflows
- Identify efficiencies in document production and information management
- Maintain organized internal knowledge resources
- Coordinate backup reprographics and hard-copy deliverables
- Manage shipping and physical submission logistics as needed
- Serve as in-office marketing point person for production-related needs

Qualification:
- Bachelor’s degree in Marketing, Communications, Business, or related field preferred
- 1-4 years of experience in marketing, proposal coordination, or professional services environment
- Experience in Architectural/engineer/Construction (A/E/C) industry strongly preferred
- Strong proficiency in Microsoft Office (Word formatting skills critical)
- Experience with Adobe InDesign preferred
- Familiarity with CRM systems (Unanet, Consential, Deltek, Salesforce, etc.) preferred
- Demonstrated comfort learning new software platforms and AI tools
- Exceptional attention to detail and organizational skills
