Job Description:
We are seeking a highly organized and detail-oriented Department Specialist to support a large-scale home-patient delivery operation. This role is responsible for coordinating delivery routes, supporting 3PL and fleet operations, ensuring regulatory compliance, and resolving delivery issues across multiple facilities and thousands of home-patient customers.
The ideal candidate has strong logistics experience, excellent communication skills, and the ability to manage complex routing and operational challenges in a fast-paced environment.
Key Responsibilities
Schedule and coordinate home-patient delivery routes for multiple locations and drivers.
Analyze distribution patterns, routing costs, and resource needs to optimize daily operations.
Prepare and distribute daily driver paperwork and route documentation.
Coordinate workflow with 3PL partners to ensure accurate picking, staging, and checking of products for both private fleet and commercial deliveries.
Operational Support
Provide routing solutions and maintain accurate database information.
Generate reports using various software tools to track and improve performance.
Plan and coordinate driver schedules for vacations, holidays, and unplanned absences using a rolling 12-week calendar.
Assist with traffic-related tasks including freight bill auditing, property claims, and carrier recommendations.
Compliance & Documentation
Support compliance with all DOT regulations.
Manage driver qualification files (JJ Keller), logs, fuel trip reports, fuel tax data, timecards, and expense reports.
Customer & Internal Communication
Serve as a primary point of contact for delivery issues for both private and commercial drivers.
Communicate with internal teams (sales, customer service, credit, service specialists, routing teams) as well as external customers (home patients, clinic nurses).
Handle special delivery instructions, short lead times, returns, redeliveries, and other service adjustments.
Update order information and delivery notes to reflect any changes or discrepancies.
Qualifications
High school diploma or equivalent required.
Minimum 2 years of experience in transportation, logistics, or distribution.
Strong problem-solving and analytical skills.
Proficiency in Microsoft Office, especially Excel and Word.
Experience working with routing or transportation systems preferred.
Ability to work independently and as part of a team.
Strong communication and customer service skills.
