Essential Job Functions and Responsibilities
- Resolve customer questions, concerns, and complaints via phone and email.
- Assist with quotes, placement of orders, returns, credit/debit memos and cancellation of orders.
- Work with Quality and/or Engineering Department when receiving a Notice of Nonconformance.
- Utilize the ERP system to do daily functions.
- Work with multiple departments.
- Trace status of orders through shop floor.
- Be knowledgeable of product line, prices, delivery time, drop ship, as required.
- Prepare and forward paperwork for Returns and Replacements on problem orders.
- Able to organize and prioritize workload.
- File and scan documents to their appropriate location.
- Performs other allied duties as assigned by supervisor.
- Listens to and records customer feedback (negative and positive) information into NetSuite.
- Refer unresolved customer grievances to designated departments for further investigation.
- Contact customers to respond to inquiries or to notify them of claim investigation results or any planned adjustments.
- Recommend improvements in products, packaging, shipping, service, or billing methods and procedures to prevent future problems.
- Light receptionist duties.
- Assists and works in conjunction with all other departments to facilitate smooth office operations.
Supervisory Responsibility
This position does not manage any other employees.
Responsibilities/Duties:

Education, Work Experience, Skill Requirements & Certifications:
Minimum Education (or substitute experience) required:
- High School Graduate or GED equivalent/Some college preferred.
Minimum Experience required:
- Minimum 2 years general office experience in a manufacturing environment.
- Proficiency with Microsoft Office programs and ability to learn new customized software.
- Experience with ERP, NetSuite is a strong plus.
Skills Required:
- Must have strong organizational skills and be detail-oriented. Ability to handle several projects simultaneously, prioritize work and handle last minute demands appropriately.
- Proven success with working in a team environment.
- Excellent communication, written and grammatical skills.

Minimum License, Certifications & Affiliations/Memberships and CEU’s
- Valid California driver’s license and an insured vehicle in good working order.
Special Requirement:
- May be required to work weekends and holidays as business necessitates; schedules will be determined by management with at least 48 hours advance notice.
