Position Overview

We are looking for a Payroll Specialist to drive accuracy, efficiency, and compliance across payroll operations in a fast-paced, high-performance environment. This role requires exceptional attention to detail, urgency in execution, and the ability to proactively anticipate and resolve payroll issues. The Payroll Specialist will also provide high-level support to executive and management teams through detailed, process-driven work performed with excellence.

What You’ll Do

  • Process semi-monthly payroll for hourly and salaried employees to ensure timely and accurate payments.
  • Review and verify timesheets, including hours worked, leaves, and overtime.
  • Audit timekeeping records to ensure compliance with company standards and wage and hour laws.
  • Reconcile payroll reports and resolve discrepancies quickly to minimize employee impact.
  • Respond to employee questions and concerns related to payroll.
  • Partner with team members to coordinate benefits, deductions, and other payroll-related adjustments.
  • Assist with year-end payroll activities, including W-2 processing and reconciliation.
  • Support internal and external audit preparation by gathering required information.

About You

You are highly organized, detail-oriented, and comfortable working in a fast-paced environment with strict deadlines. You have strong analytical and problem-solving skills and can adapt quickly as priorities change in a growing organization. You communicate clearly, maintain confidentiality, and bring a proactive approach to resolving payroll issues before they become problems. You are also confident using HRIS systems and Microsoft Office tools, and you learn new technology quickly.

Responsibilities

  • Process semi-monthly payroll for hourly and salaried employees, ensuring every pay cycle is completed accurately, on time, and in alignment with internal policies and payroll deadlines.
  • Review and verify timesheets, hours, leaves, and overtime to confirm employee pay is calculated correctly and all submitted time data is complete and accurate.
  • Audit payroll records for compliance with organizational standards and applicable wage and hour laws, identifying and correcting issues before they affect employee pay or create compliance risk.
  • Reconcile payroll reports and resolve discrepancies by investigating mismatches, correcting errors, and ensuring payroll data is consistent across systems and records.
  • Respond to payroll-related employee inquiries with professionalism and urgency, providing clear answers and resolving concerns in a timely manner.
  • Coordinate benefits, deductions, and payroll adjustments with internal partners to ensure employee records, withholdings, and changes are accurately reflected in payroll processing.
  • Assist with W-2 processing, year-end reconciliation, and audit support by gathering information, validating records, and helping ensure all year-end deliverables are accurate and complete.

Required Qualifications

  • Minimum 3 years of payroll experience.
  • Strong knowledge of payroll processes and procedures.
  • Thorough understanding of employment-related laws and regulations.
  • Excellent verbal and written communication skills.
  • Strong interpersonal, organizational, analytical, and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • High level of confidentiality.
  • Proficiency with Microsoft Office Suite or similar software.
  • Ability to quickly learn and master HRIS technology.

Preferred Qualifications

  • Experience with UKG Pro WFM.
  • Associate degree in Business or a related field.
  • Experience in a multi-unit organization.
