Rental Agent / Cashier & Service Contract Payment Coordinator

Pay Range: $20.00 - $25.00 per hour (based on experience)
Crowley Chrysler Dodge Jeep Ram is seeking a professional, organized, and customer-focused Rental Agent / Cashier & Service Contract Payment Coordinator to join our team. This position combines rental fleet management, cashiering responsibilities, and administration of service contracts and extended warranty payments while providing exceptional customer service to dealership guests.
The ideal candidate will thrive in a fast-paced dealership environment, possess strong attention to detail, and be comfortable handling customer transactions and financial documentation.
Essential Responsibilities
Rental & Loaner Vehicle Administration
- Manage vehicle rental and service loaner reservations.
- Prepare rental agreements and related documentation.
- Verify driver's licenses, insurance information, and customer eligibility.
- Conduct vehicle check-out and check-in inspections.
- Track vehicle availability, mileage, fuel levels, and condition reports.
- Coordinate vehicle cleaning, maintenance, and readiness with support personnel.
- Process rental payments, deposits, and refunds.
- Resolve rental-related customer concerns and questions.
Cashier Responsibilities
- Process customer payments for service, parts, and vehicle rental transactions.
- Accept cash, checks, credit cards, and electronic payments accurately.
- Balance daily cash drawer and payment transactions.
- Reconcile receipts and assist with end-of-day accounting procedures.
- Prepare payment documentation and reports as required.
- Assist customers with billing inquiries and payment questions.
Service Contract & Warranty Payment Administration
- Process extended service contract and maintenance contract claims.
- Track claim approvals, receivables, and outstanding payments.
- Follow up with service contract providers regarding unpaid claims.
- Verify repair orders and supporting documentation for payment processing.
- Maintain accurate records of claims, payments, and customer contracts.
- Work closely with service advisors, technicians, and accounting staff to ensure timely claim reimbursement.
- Assist in resolving claim discrepancies and payment issues.
Customer Service & Administrative Support
- Deliver outstanding customer service in person and over the phone.
- Maintain accurate customer and vehicle records in dealership software systems.
- Assist with filing, data entry, and general office administration.
- Support dealership marketing initiatives and customer follow-up activities.
- Collaborate with Service, Parts, Sales, and Accounting departments.
Qualifications
- Previous dealership, rental, cashiering, warranty administration, or customer service experience preferred.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication abilities.
- Experience handling cash and customer payments preferred.
- Basic accounting and reconciliation skills.
- Proficiency with Microsoft Office and dealership management systems.
- Ability to work independently while maintaining attention to detail.
- Professional appearance and positive attitude.
- Valid driver's license with an acceptable driving record.
Compensation & Benefits
Hourly Pay: $20.00-$25.00 per hour, depending on qualifications and experience.

Work Schedule
Full-Time Position
Tuesday through Saturday with rotating Mondays as required by dealership operations.
