Job Description
As the Clinical Scheduler, your scope of responsibilities will include but is not limited to:
- Developing and maintaining master and orientation schedules for all new team members within the scheduling software to ensure consistent coverage.
- Utilizing scheduling software to create, maintain, and update schedules for nursing team members in the Healthcare Center, Personal Care, and Brookside Memory Care, ensuring compliance with regulatory and organizational guidelines.
- Reviewing daily schedules for accuracy and appropriate coverage across the continuum of care. Maintains “Open Shift” list; communicates needs to team, campus wide.
- Collaborating with Administration in each service line to recruit and schedule qualified personnel for open shifts.
- Maintaining ongoing communication with nursing leadership and team members regarding schedule updates and staffing needs.
- Reviewing, approving and tracking PTO requests and other scheduling changes in accordance with organizational guidelines.
- In collaboration with Human Resources and facility administration, assists in creating and maintaining policies related to scheduling, attendance, and staffing. reviewing and updating policies annually or as needed.
- Consulting with leadership before approving permanent changes to the master schedule.
- Serving as a technical resource for the scheduling software, participates in system upgrades, and assisting in the implementation of new modules.
- Acting as a liaison for team members regarding scheduling software inquiries and usage.
- Meeting regularly with CKV service line Administrators to maintain strong working relationships and alignment on staffing needs.
- Following up on call-offs to ensure adequate coverage and proper documentation.
- Maintaining records of on-call team member availability and ensuring appropriate shift coverage.
- Monitoring and entering leave codes (e.g., FMLA, STD, LOA, Workers’ Compensation) in scheduling software.
- Providing attendance and staffing updates to service line Administrators and clinical leadership.
- Processing and reconciling changes in scheduling software from deployment sheets for payroll purposes; maintaining required PPD.
- Completing payroll for all clinical team members and responding to payroll-related inquiries.
- Minimum of three years of experience in a long-term care or healthcare setting.
- High school diploma required; Associate degree or relevant certification preferred.
- Prior office management and scheduling experience.
- Proficiency in web-based scheduling software, Microsoft Excel, Word, and time and attendance systems.
- Must have excellent communication and interpersonal skills, both in person and over the phone.
- Ability to manage resources efficiently and support budgetary considerations.
- Demonstrates fairness, professionalism, and the ability to build positive relationships with team members.
