Job Title: Executive Assistant

FLSA Status: Non-exempt, hourly

Job Summary Responsible for the overall daily office operations for the local office. Provide administrative support by welcoming visitors, assisting the local leadership team with administrative needs, and maintaining an organized, efficient office environment. Manage office supplies, inventory, and equipment.

Expectations Expected to anticipate the needs of the Executive team and manage daily priorities with discretion and professionalism. Manage the daily activities of the office, ensuring that all tasks are completed efficiently and effectively. Demonstrate initiative, critical thinking skills, accountability, and effective communication at all levels. Must be highly organized and able to multi-task, prioritize work, manage time effectively, and meet deadlines with frequent interruptions. Requires no supervision once trained.

Essential Duties – Only the most critical duties are listed. Other duties may be assigned as needed.

Executive Support

  • Manage complex executive calendars, including scheduling meetings across multiple time zones.
  • Coordinate domestic travel arrangements, including itineraries and expense documentation.
  • Prepare leaders for meetings by organizing agendas, briefing materials, and follow-up actions.
  • Anticipate presentation needs and proactively prepare materials under tight deadlines.
  • Draft, edit, and proofread correspondence, reports, and presentations on behalf of executives.
  • Handle confidential and sensitive information with the highest level of discretion.
  • Track action items, deadlines, and deliverables to ensure timely completion of executive priorities.
  • Assist with special projects, including research, data compilation, and process improvement efforts.
  • Prepare meeting minutes and distribute follow-up communications as needed.
  • Coordinate meals, refreshments, and related logistics for executives during meetings and high-demand periods.


Administrative Support

  • Greet clients and visitors in a professional manner
  • Create and edit documents electronically
  • Photocopy, fax, scan, mail, and file documents
  • Prepare, print, assemble, and bind presentation and meeting materials in a professional client-ready format.
  • Draft and disseminate all office-related communications
  • Set up office space, supplies, and equipment for new hires
  • Support other departments with projects upon request


Event Support

  • Coordinate logistics for executive meetings, board meetings, department retreats, employee training, and other office events, including venues, room setup, catering, audio/visual needs, and materials.
  • Coordinate travel arrangements and hotel accommodations for meeting and event attendees.
  • Arrange airfare, ground transportation, and lodging to support meetings, conferences, and company events.
  • Assist the marketing department with planning, purchasing, setup, attending, and takedown for company sponsored events in the community.


Office Operations

  • Open and close office procedures
  • Process and distribute office mail and packages
  • Prepare outgoing mail and packages
  • Make trips to the post office as needed
  • Maintain the break room(s) – keep items in stock, make coffee, dishes, clean, organize
  • Light cleaning of common areas – dusting, sweeping/vacuuming
  • Clean and organize the meeting room(s)
  • Coordinate meeting rooms’ electronic calendars and schedules
  • Order, pickup, stock weekly office groceries
  • Order and pick up food and supplies for company events upon request
  • Manage the purchasing of office supplies, furniture, and equipment, and ensure all office equipment is properly maintained
  • Order, receive, and stock inventory for all office supplies; monitor inventory levels
  • Contact vendors to troubleshoot issues at assigned office –wi-fi/internet connectivity, smart tv connectivity, copiers/printers, office equipment, etc.
  • Administer building access credentials, including issuing and deactivating key fobs for employees and visitors.
  • Work well both independently and as a team
  • Provide excellent customer service to employees, vendors, and clients


Qualifications

Education/Experience: High school diploma or GED required. Associates degree highly preferred or 3 years of proven experience in an administrative role.

Certifications/Licenses: None required

Driving Requirements: Valid driver’s license. Frequent local travel expected.

Physical Requirements – Must be able to talk, hear, and see. Requires close visual acuity to prepare and analyze data and figures and view a computer screen. Reach, lift, and carry up to 30 pounds occasionally. The position is mostly sedentary, involving sitting most of the time. Occasionally required to stand and walk. Repetitive motion of the wrists, hands, and/or fingers.

Work Environment – Indoor office setting. Noise level is typically quiet to moderate.

Financial Skills – Ability to apply sound financial judgment to inventory control and vendor management to ensure accuracy, cost containment, and operational efficiency.

Communication Skills – Effective verbal and written communication skills as well as providing excellent customer service. Proficiency in technical writing and communications. Understand all audiences and develop appropriate communication solutions. Skilled at cultivating and managing relationships.

Cognitive Skills – Must be able to focus for long periods of time. Ability to comprehend financial data, details, problem solve and ensure consistency and accuracy in all work products. Apply critical thinking skills by conceptualizing, analyzing, and evaluating information.

Language Skills – Ability to read, interpret, and understand documents such as instruction manuals and internal policies and procedures. English language fluency in reading, writing, speaking, and understanding is required.

Computer Skills – Efficiently navigate a web browser, mobile applications, Microsoft Office Suite (Excel, Teams, Word, SharePoint, PowerPoint, etc.). Must be able to design professional presentations and efficiently navigate all internal reporting platforms.

Work Ethic – Be trustworthy, dependable, respectful, and truthful with a commitment to safety and excellent customer service. Follow company policies and procedures and take responsibility for your own actions.
