Job Summary Provide administrative support to the entire company’s HSE/DOT team. Primary administrative responsibility for this position is in HSE program administration.
Expectations Self-motivated, organized, and effective communicator. Given parameters but works with little supervision once trained. Must be able to manage time effectively with frequent interruptions, multi-task, and prioritize work.
Essential Duties
- Develop a thorough understanding of company product lines, locations, and internal reportin requirements
- Manage and maintain contractor information management systems (ISNetworld, VeriforceONE, etc.)
- Manage and maintain HSE Training History matrix and employees’ HSE training certificates
- Manage and maintain personnel and facilities’ safety records
- Track and maintain PPE inventory levels and supply purchases
- Order HSE training supplies as needed
- Assist in monitoring employee usage of company’s incident reporting tools
- Assist in general OSHA compliance and reporting
- Assist in scheduling and setting up all safety trainings
- Prepare and maintain HSE PowerPoint presentations and related materials for monthly safety meetings
- Assist in maintaining HSE policies and programs, Standard Operating Procedures (SOPs), forms, and flowcharts
- Assist with the coordination of HSE audit information
- Serve as an active team member and resource to internal customers
- Investigate HSE issues/incidents and provide results to HSE/DOT leadership
- Communicate with internal customers via phone, text, email, mail, or in person
- Serve as backup for other HSE and DOT Administrative Assistants as needed
- Order food for department events as needed
- Work well independently and as a team
- Provide excellent customer service

Qualifications
Education/Experience: High school diploma or GED required. 2 years of administrative experience preferred.
Certifications/Licenses: None required.
Driving Requirements: Valid driver’s license preferred. May need to run errands or pick up office supplies.
Physical Requirements – Lift, push, pull, and carry up to 50 pounds chest high. Must be able to reach, push, pull, and grasp with arms and hands. Will require daily standing, crouching and/or kneeling, sitting, climbing, and walking, although the position is mostly sedentary. Repetitive motion of the wrists, hands, and/or fingers. Must be able to talk, hear, and see. Must be able to assess accuracy, neatness, and thoroughness of work.
Work Environment – Indoor shop/office setting, possibly with laboratory onsite. Includes potential exposure to chemicals, dust, odors, fumes, oil, and gases. Noise level is typically moderate.
Communication Skills – Effective verbal and written communication skills while providing excellent customer service. Understand all audiences and develop appropriate communication solutions. Skilled at cultivating and managing relationships.
Language Skills – Ability to read, interpret, and understand documents such as safety rules, operating instructions, policies, and procedure manuals. English language fluency in reading, writing, speaking, and comprehending. Bilingual beneficial.
Cognitive Skills – Must be able to focus for long periods of time. Ability to comprehend OSHA, EPA, and DOT regulations and details. Must be able to solve problems. Must be able to assess and ensure accuracy, neatness, and thoroughness of work.
Computer Skills – Efficiently navigate a web browser, mobile applications, and electronic timesheets. Must be proficient in Microsoft Office Suite (Excel, Teams, Word, Outlook, SharePoint, etc.).
Work Ethic – Be trustworthy, dependable, respectful, and truthful with a commitment to safety and excellent customer service. Follow policies and procedures and take responsibility for your own actions.
Must pass pre-employment drug test, motor vehicle record check, criminal background check, and education verification.
