Kronos – Experienced Functional Administrator – Rockville, MDAbout us Creative Information Technology Inc (CITI) is an esteemed IT enterprise renowned for its exceptional customer service and innovation. With clients in the US and abroad, we hold key contract vehicles including GSA IT Schedule 70, NIH CIO-SP3, GSA Alliant, and DHS-Eagle II.Join us in driving growth and seizing new business opportunities.Background The Client utilizes Kronos Workforce Timekeeper Version 8.1 hosted in the Kronos Private Cloud, internally called MCtime, to collect time and attendance data for the County Government workforce. The County has approximately 40 departments with 13000 records in the Kronos database. The Client uses both the project and hourly timecard views. The majority of employees make time and attendance entries via the internet or have timekeepers who do so on their behalf; approximately 400 employees use Kronos DX time clocks. Various scheduling systems interface with Kronos Workforce Timekeeper Version 8.1 to support the operational needs of individual departments such as the Department of Transportation, Transit Division, Fire and Rescue Services and the Police Department. The Department of Transportation, Highway Services Division, use an internal application called Crew Day Card; the Transit Services Division use Trapeze (non-Kronos); Fire and Rescue Services and the Police Department use TeleStaff, a Kronos scheduling module. The Department of Correction and Rehabilitation uses a stand-alone TeleStaff application for internal scheduling which does not interface with the Timekeeping application. Timekeeping policies and processes are governed by Client Personnel Regulations and Collective Bargaining Agreements. Timekeeping data is exported bi-weekly to the Enterprise Resource Planning System, Oracle eBusiness.General system administration is required throughout the fourteen day pay cycle. Tasks include, but are not limited to, processing of special employee group access, schedule change and delegation forms, creating/maintaining/assigning schedule patterns and groups, reviewing and taking appropriate action on Transaction Assistant errors, monitoring routine interface jobs, creating reports based on changing business needs, creating/modifying SQL queries to support timekeeping related processes and configuration/re-configuration of pay codes, pay rules, work rules and/or assignment rules and troubleshooting of errors that could occur between the scheduling systems and Kronos Workforce Timekeeper and/or Kronos Workforce Timekeeper and Oracle eBusiness.The Client is in the process of upgrading to the Pro WFM Time and Scheduling application with a target implementation date of 1Q26. Several upgrade tasks are required for smooth transitions. These tasks include, but are not limited to, optimizing the current configuration, new feature configuration, conversion of existing workforce integration manager interfaces, revision of SQL queries and routine reports, updates to genies, Hyperfinds, etc. and testing. Participation in the creation of training documents will also be required. Facilitation of department briefings and/or training may be required.Role and Responsibilities Client seeks one skilled functional administrator(s) who will work under the direction of the functional program manager and closely with various project teams, departmental subject matter experts and the vendor. The functional administrator will provide support throughout the pay cycle and must be capable of providing administrative and functional support to MCtime (Kronos Workforce Timekeeper V8 and Pro WFM) end users; providing staff level support for the MCtime system; acting as a liaison to County department representatives and coordinating research into and resolution of user problems including system functionality, employee schedules, pay rule assignment, timeclock configuration; researching and responding to user inquiries and issues reported to the MCtime Help Desk. The administrator would be responsible for the following: Assisting with the implementation of department specific timekeeping related processes and procedures used in conjunction with the MCtime applicationParticipating in the testing of system upgrades and service patches; create/update test scriptsParticipating in the process of reporting inadequacies and problems (“bugs”) (both functional and technical) within the MCtime (Kronos Workforce Timekeeper V8) application to the functional project manager for submission to the vendor (Kronos)Processing forms, submitted by department representatives, related to MCtime system administration functions, including, but not limited to:Employee schedule change requestSpecial Manager Access requestDirector DelegationResolving daily Transaction Assistant ErrorsProviding help desk support for employees and department representatives, including individual ad-hoc training as requiredPerforming validation and verification of timecard entries at the close of the pay periodParticipating in developing training materials and facilitating training sessions as requiredCreating reports for end users based on dynamic operational needsCreating/Revising SQL/WIM queries to support operational needs and migrate to the Boomi platform as part of the upgrade to Pro WFM (Dimensions)Perform updates to CRTs and Boomi functionality required on the UKG Pro WFM platformConfigure/Re-configure/Test pay rules, work rules and assignment rules in Kronos Workforce Timekeeper V8 as operational needs change, including new Pro WFM (Dimensions) features for upgradeConfigure/Maintain/Test timeclocks for various departments/locations, implement others as requiredMonitor daily, weekly, biweekly interface jobs to ensure timely imports and accuracy of data inputs; review/recommend changes to Workforce Integration Manager interfaces and/or CRTs and BoomiReview, recommend changes to scheduling imports that affect timekeeping policies/processesCreating/Modifying schedule patterns and/or groups as requiredCreating/Modifying genies, Hyperfinds and/or pay codes as operational needs changeUpdate Holiday Calendar including affected pay rules (including any special WIM jobs)Minimum Qualification Proficient in Kronos Workforce Timekeeper V8 and can quickly learn and understand the County’s configurationProficiency in configuring pay rules, work rules and assignment rules; accrual codes and profilesProficiency in reviewing/creating/modifying Workforce Integration Manager and SQL queriesProficiency in creating reports using Kronos Reporting Tools or SQL queriesProficiency in the Pro WFM (Dimensions) and Boomi platformsContractor will possess the following Boomi Certifications: Associate, Professional, and Empowerment CertificatesAbility to communicate effectively (orally and written) with various levels of employees maintaining team communications and processing forms.Forms processing, which includes the ability to analyze and verify data, ensuring that appropriate authorization is provided, prior to updates in Kronos Workforce Timekeeper. Ensuring appropriate handling of processed forms, including organizing and storing processed forms in accordance with audit complianceAbility to provide general system administration including, but not limited to monitoring of regular interface jobs, resolving Transaction Assistant errors and creating/modifying genies and HyperfindsAbility to apply Personnel Regulations and Collective Bargaining agreements to specific employee time and attendance configurationsAbility to provide functional application and/or process support to end users. Experience can be related to an informal or formal help desk support processExperienced in system testing such as upgrade related, service patch or regression testing Knowledgeable in automated scheduling systems/modules such as Trapeze or TeleStaff to include ETL (extract, transform, load) of dataAbility to create written documentation for new and existing processes and/or related issuesPreferred QualificationPossess a basic knowledge of payroll practices and proceduresAbility to quickly learn and understand Departmental operational needs, including Public SafetyPossess an elevated level of attention to detailPossess a strong sense of ownership and accountabilityBe skilled in planning, organizing work and setting prioritiesWork well in a changing environment maintaining a strong positive perspectiveHave experience using Microsoft Excel, Word, and automated email systems, such as Office 365.Become familiar with Client Personnel Regulations and Collective Bargaining agreements specific to timekeeping policies and processes.
