Ute Pass Regional Health Service District, Colorado
Administrative Coordinator

Ute Pass Regional Health Service District is seeking a service-minded Administrative Coordinator to provide front-office, executive, scheduling, and administrative support for the District’s Administration Building in Woodland Park, Colorado. This grant-funded position is anticipated to continue for up to five years and plays an important role in supporting daily operations, public-facing customer service, meeting and event coordination, patient program scheduling, and administrative communication.

The Administrative Coordinator serves as a first point of contact for staff, patients, vendors, partners, and members of the public. Responsibilities include answering and routing calls, greeting visitors, coordinating executive calendars and correspondence, supporting meetings and trainings, assisting with public relations and special events, arranging room setup and virtual meeting logistics, and prescheduling Non-Emergency Medical Transport and Community Paramedic / Mobile Integrated Health appointments. The position also supports accurate records, confidential information handling, general office organization, supply coordination, and other administrative duties as assigned.
The ideal candidate is highly organized, professional, and customer-service oriented, with the ability to manage multiple priorities while maintaining accuracy, confidentiality, and a calm front-office presence. This person communicates clearly, exercises sound judgment, follows through on commitments, and enjoys supporting both internal teams and the public in a fast-paced administrative environment.
  • Provides warm, professional, and responsive service to visitors, patients, staff, vendors, and community partners.
  • Balances front-desk responsibilities, executive support, scheduling, and administrative follow-through with strong attention to detail.
  • Demonstrates discretion when handling patient, personnel, financial, and organizational information.
  • Adapts well to changing priorities, frequent interruptions, and competing deadlines.
  • Builds positive working relationships and contributes to a professional, organized, and service-minded office environment.
Minimum Qualifications
  • High school diploma or equivalent required;
  • Prior experience in a receptionist, administrative assistant, executive assistant, or medical secretary role or closely related field.
  • Proficiency with word processing, spreadsheet, email, and calendar software, as well as videoconferencing platforms (e.g., Teams, and Zoom).
  • Strong organizational, multitasking, and time-management skills.
  • Excellent verbal and written communication skills, and a professional, courteous phone and in-person manner.
  • Ability to exercise sound judgment and maintain confidentiality, particularly regarding patient scheduling information.

Preferred Qualifications
  • College coursework or additional training in office administration, healthcare administration, business administration, or a related field.
  • Experience with medical scheduling, inlcuding patient appointments, medical transports, or home health visits.
  • Familiarity with medical terminology, HIPAA, and 42 CFR Part 2 requirements.
  • Experience with medical billing and pre-billing processes.
  • Experience supporting executive leadership or a governing board.
  • Experience coordinating events, trainings, or public relations activities, ideally in a public safety, healthcare, or local government setting.
Additional Information
  • Schedule: This is generally a full-time, Monday through Friday position during normal business hours, with occasional flexibility needed to support after-hours meetings, trainings, Board meetings, or community events.
  • Location: The position works primarily onsite at the UPRHSD Administration Building, 1017 E. US Hwy 24, Woodland Park, Colorado.
  • Grant-Funded Position: This is a grant-funded, limited-term position anticipated to continue for up to five (5) years. Continued employment is contingent upon the availability of grant funding and ongoing program and operational needs. The position may end earlier if grant funding is reduced, discontinued, or otherwise becomes unavailable.
Benefits
  • Health Coverage
    • Comprehensive Medical Insurance: Full-time staff are provided robust medical health coverage designed to mitigate high out-of-pocket costs typical of healthcare and high-acuity medical environments.
    • Additional Coverage: Dental and vision coverage options are typically integrated into the full-time employee health package.
    • Wellness Support: Job postings emphasize supportive health environments, which often include targeted wellness frameworks or stipends to help manage the physical and mental demands of mountain EMS work.
  • Retirement Plans
    • Robust Retirement Options: UPRHSD provides structured retirement plan options to help field medics, administrative staff, and leadership build long-term financial security. (As a Colorado special district, many similar entities align with state or competitive private-sector matching/pension frameworks to support long-term retention).
  • Holidays & Time Off
    • Paid Time Off (PTO): Generous, structured paid leave policies are built into full-time contracts.
    • Burnout Prevention: Given the intense nature of 24/7 emergency services and mountain rescue operations, PTO structures are intended to give personnel adequate rest and recovery time between shifts.
Why Work Here?
What uniquely draws clinicians and EMS professionals to this specific district includes:
  • Pioneering "Beyond the Ambulance" Medicine: Unlike traditional services that only run lights-and-sirens to an ER, UPRHSD gives paramedics and EMTs the platform to practice true Mobile Integrated Healthcare through their dedicated Community Paramedic programProviders handle everything from complex mental health interventions to in-home preventative treatments for residents who don't need the emergency room.
  • True Clinical Autonomy in High-Stakes Environments: Operating across a sprawling mountain district means providers regularly manage high-acuity trauma and multi-county corridor responses where critical thinking and advanced field autonomy are genuinely utilized, rather than just following rigid city-transit protocols.
  • Special District Support & Stability: Because it is an independent tax-funded special district rather than a private, for-profit transfer service, it provides local government-backed stability while offering tailored perks like fully funded healthcare packages and targeted wellness stipends meant to counter operational burn-out.
