What are the responsibilities and job description for the FRONT DESK & VOLUNTEER SERVICES SPECIALIST position at Covenant HealthCare?
The Volunteer Services Specialist supports the full lifecycle of the volunteers, including recruitment, onboarding/training, scheduling and recognition. This role serves as a liaison between volunteers, Covenant HealthCare, our patients, families and the communities we serve. The Specialist supports communication with volunteers, record keeping, and event planning. This role provides assistance to the Front Desk & Volunteer Services Manager as well as as-needed support for Front Desk Services.
Responsibilities
Maintain Volunteer Services e-mail account and respond to prospective volunteers
Initial point of contact with potential new volunteers.
Assures all required documentation (references, background checks, health screenings, education modules, and orientation).
Clearly outlines what the steps are in the onboarding process, advises volunteers on required documentation and ensures understanding. Provides formal placement communication to volunteers and department.
Assist with volunteer departmental training as needed.
Follow up with new volunteers after their start date. Serves as a resource for new volunteers to ensure they have access to the information they need.
Coordinate volunteer schedules, placements, and levels to meet organizational needs.
Maintain accurate and up-to-date volunteer records in the volunteer management system (e.g., VSYS One).
Assist with the expansion of outreach efforts for volunteers.
Help maintain the department's administrative files.
Order and distribute supplies for Front Desks/Volunteer Services
Support internal and external communications projects.
Assist with recognition and other event projects.
Assists with daily operations of Front Desk/Volunteer Services including answering phones, scheduling appointments, greeting and assisting volunteers, scheduling meetings and reserving rooms.
Provide back up for sorting internal and external mail for organization.
Cross train to provide back up for Front Desk Receptionists responsibilities when needed.
Other duties, as assigned.
Qualifications
Education/Experience
Minimum bachelor's degree or associate degree with relevant work experience required
Training and experience in business, marketing, human resources or volunteer services preferred
Qualifications
Reliable, punctual, energetic, and friendly.
Strong organizational and time management skills with attention to detail.
Ability to maintain strict confidentiality and demonstrate tact and diplomacy.
Comfortable working with people from diverse backgrounds, being courteous, professional, patient, and respectful at all times.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).
Comfortable working independently and as part of a team.
Excellent communication skills.
Ability to act calmly and effectively in a crisis situation.
Ability to plan a schedule, create high quality documents and other projects as assigned.
Prior office experience, or interest in gaining related skills.
