What are the responsibilities and job description for the VOLUNTEER SERVICES SPECIALIST position at Covenant HealthCare?
The Volunteer Services Specialist serves as a liaison between volunteers, Covenant HealthCare, our patients, families and the communities we serve. The Specialist supports the Front Desk/Volunteer Services Manager with communication to volunteers, record keeping/database management, and recruitment and retention of volunteers. This also provides as-needed support for Front Desk Services.
Responsibilities
Maintain Volunteer Services e-mail account and respond to prospective volunteers.
Initial point of contact with potential new volunteers after application is received.
Perform reference checks, background checks and document health screenings, education, and orientation in the Volunteer database.
Communicate volunteer placement to assigned department.
Assist manager with volunteer departmental training as needed ensuring orientation packets are prepared.
Follow up with new volunteers after their start date. Serves as a resource for new volunteers to ensure they have access to the information they need.
Email 30-day onboarding evaluation and exit interviews as outlined by manager.
Maintain accurate and up-to-date volunteer records in the volunteer management system (e.g., VSYS One).
Assist Manager with the expansion of outreach efforts for volunteers. Attend Health Fairs, Community Events, and other activities to help recruit volunteers.
Help maintain the department's administrative files.
Order and distribute supplies for Front Desks/Volunteer Services
Assist manager with recognition and other event projects.
Assist with daily operations of Front Desk/Volunteer Services including answering phones, scheduling appointments, greeting and assisting volunteers, scheduling meetings and reserving rooms.
Provide backup for sorting internal and external mail for organization.
Provide backup coverage for Front Desks when needed.
Other duties, as assigned.
Qualifications
EDUCATION/EXPERIENCE
Bachelor's degree or Associates' degree with relevant work experience required.
Training and experience in business, marketing, human resources or volunteer services preferred.
QUALIFICATIONS
Reliable, punctual, energetic, and friendly.
Strong organizational and time management skills with attention to detail.
Ability to maintain strict confidentiality and demonstrate tact and diplomacy.
Comfortable working with people from diverse backgrounds, being courteous, professional, patient, and respectful at all times.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).
Comfortable working independently and as part of a team.
Excellent communication skills.
Ability to act calmly and effectively in a crisis situation.
Ability to plan a schedule, create high quality documents and other projects as assigned.
Prior office experience, or interest in gaining related skills.
