Job Summary
This position is responsible for direct clerical support to the Central Processing Division of the York County Sheriff’s Office and to the District Justice Duty Court of the York County Court Administration Office. This includes specific assignments to assist with the operations of the Sheriff’s Office; in addition to, fulfilling legal obligations and procedures related to the functions of the Duty Magistrate and respective offices. The Coordinator shall prepare/process necessary documents, complete required data entry and associated checks/verifications, collect applicable funds, coordinate mandatory notifications and disseminate information to all applicable offices and parties involved in central processing, arraignment, bail, warrant service, and search/emergency orders.

Responsibilities
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Preparation of documents for District Court Judges conducting business for the Central Processing Division. Process criminal charges, citations, warrant service documents, arraignment paperwork, cost sheets, bail paperwork, search warrants, emergency protection from abuse orders and all other required forms or legal documents.
- Responsible for monitoring and tracking computer printouts, recording and issuing warrants, subpoenas, hearing notices, continuances, summary convictions, suspension orders, court ordered payment agreements, and all other associated documents.
- File and docket paperwork in local and state computerized systems: York County Sheriff’s Office record management system (CODY), Laser Fiche, County Suite, Microsoft Word/Excel, electronic mail and the following systems from Administrative Office of Pennsylvania Courts: Protection from Abuse Database (PFAD), Magisterial District Judge Automated System (MDJS), and Common Pleas Criminal Court Case Management System (CPCMS).
- Process booking photographs originating from the Commonwealth Photo Imaging Network (CPIN) ensuring images meet quality standards.
- Process livescan fingerprint cards originating from the Automated Fingerprint Identification System (AFIS) ensuring quality of prints. Verify criminal charges on print card match charges on criminal complaint.
- Responsible for calculating and assessing applicable costs, collecting and counting cash, running credit cards and producing receipts (verification of funds collected and receipted, review electronic payment printouts). Coordinate distribution of collections to Clerk of Courts Office, Prothonotary’s Office, and District Court Offices.
- Process and review arraignment and warrant service packets prior to distribution to District Justice Offices and Police Departments. Confirmation of following documents: criminal charges, fingerprints/photographs, criminal history, arraignment forms, bail, receipts, and cost sheets.
- Direct line of communication for necessary notifications, coordinate and schedule arraignments and preliminary hearings, and address matters of mutual concern with the following offices and agencies: District Magisterial Offices, Court of Common Pleas Judges, District Attorney’s Office, Public Defender’s Office, Clerk of Courts Office, Prothonotary’s Office, Domestic Relations Office, Probation/Parole Offices, Police Departments, and local, state, and federal law enforcement agencies.
- All other duties assigned by Office Manager, Assistant Office Manager or Central Processing Administrator.
Essential Requirements
ESSENTIAL REQUIREMENTS
- Must have high school diploma or equivalent and possess necessary ability and knowledge to perform essential functions. Must clear criminal background check.
- Must possess the knowledge and proficiency to utilize computer systems and programs to support the administrative functions of the processing division and district court.
- Maintain preferred working knowledge of Administrative Office of Pennsylvania Courts (AOPC) and the York County Sheriff’s Office electronic/digital systems, programs and components.
- Must maintain applicable knowledge of Pennsylvania Crimes Code, Vehicle Code, and Rules of Criminal Procedure. In addition, policies and procedures of the York County Sheriff’s Office and the York County Court Administration Office.
- Must possess strong communication, organization, time management, and multi-tasking skills.
- Must be able to work in a controlled environment with law enforcement, victims, defendants, and adhere to all confidentiality mandates.
- Must have flexible schedule to work assorted shifts, weekends, and holidays.
- In accordance with the Sheriff’s authority under section 1620 of County Code.
