Clerk Typist I - Veteran's Affairs

GENERAL SUMMARY: Under general supervision, provide clerical support to department to ensure timely transmittal or processing of information, efficient organization of department data and professional courtesy to office callers and visitors. Process veterans’ death benefits, search DD-214, distribute and calculate flag holders and flags.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Respond to inquiries from the public regarding veterans and widows’ benefits in person or over phone; provide information regarding burials, headstones, health benefits and death benefits; provide information regarding procedures.
  • Gather information on funeral homes, cemeteries, discharges, and check obituaries daily for deceased veterans.
  • Type and process all veterans’ death benefit applications preparing check requests for county benefits and Director’s approval. Type correspondence from rough draft and compose routine replies. Maintain records concerning burial, headstone, markers, letterings, and Memorial Day and Veterans Day reimbursement applications.
  • Arrange files alphabetically or/and predetermined methods and classifications. Keep a card file of all deceased veterans and file information.
  • Search and locate file material from St. Louis (Discharge Center) to Washington D.C., as permitted by HIPPA and the County Director.
  • Operate various office equipment and maintain office supplies.
  • Calculate, count and oversee the distribution of flags and flag holders. Responsible for transporting and loading the boxes to the pickup vehicles.
  • Schedule and maintain records for transportation of VA vans. Assist the Director in assuring maintenance (repair, fueling and cleanliness) of the vans. Keep records of all Veterans’ information, drivers’ information, cell phone bills and credit card bills for fuel.

JOB SPECIFICATIONS:

Any combination of education and experience which indicates possession of the skills, knowledge and abilities listed below. An example of acceptable qualifications for this position is completion of high school degree or the equivalent and additional specialized training or experience in veterans’ benefits.

Thorough knowledge of Federal, Pennsylvania State and County benefits for Veterans.

Thorough knowledge of record keeping practices and procedures.

Thorough knowledge of office practices and procedures.

Advanced knowledge of federal, state and county forms and procedures.

Typing and operation of computer keyboard. (Window, excel, vims-VA software)

Ability to process documents according to detailed guidelines and deadlines.

Ability to prepare accurate records and reports.

Ability to demonstrate a polite and courteous manner toward the public.

Ability to respond to angry or upset individuals with tact and patience.

Ability to be flexible in performing more than one task at a given time.

Ability to demonstrate physical fitness to include moving boxes of flag holders and flags. Separating flags and holders into containers for various veterans’ posts and loading into vehicles for distribution on Memorial Day.

Work is generally performed in normal office environment and is performed with frequent interruptions. Distribution of flags and flag holders is performed outside the office (warehouse/dock area). Work frequently involves responding to angry or upset individuals.

Moderate bending, stooping, lifting up to 25 lbs.
