Duties

- Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
- Handle appointment scheduling, calendar management, and coordinate meetings for team members or departments
- Maintain organized filing systems, data entry records, and manage document proofreading to ensure accuracy
- Support office management tasks such as inventory control, supply ordering, and basic bookkeeping using QuickBooks or similar software
- Assist with clerical duties including copying, scanning, faxing, and managing correspondence via Google Workspace and Microsoft Office tools
- Provide excellent customer support by addressing inquiries promptly and professionally while maintaining a positive attitude
Experience
- Previous office experience or administrative support roles demonstrating strong organizational skills and multitasking abilities
- Bilingual proficiency preferred to effectively communicate with diverse clients and team members
- Familiarity with front desk operations, multi-line phone systems, data entry, filing, and general clerical tasks
- Experience with computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic proofreading skills
- Knowledge of office management procedures such as calendar management, time management techniques, and customer service best practices
- Prior experience in medical or dental receptionist roles or personal assistant positions is advantageous but not required
