Ministry Function:

The Church Engagement Administrative Manager supports the ministry of Convoy of Hope by partnering with the Vice President - Church Engagement to drive alignment, execution, and operational effectiveness across ministry initiatives. This role provides project management, administrative oversight, and communication support to ensure priorities are executed with clarity, accountability, and excellence in support of the local church.

 

 Essential Duties and Responsibilities:

  1. Provides leadership and coordination of Church Engagement projects and initiatives, ensuring priorities are clearly defined, tracked, and completed within established timelines.
  2. Oversees and manages Monday.com project activity in partnership with the Vice President - Church Engagement to ensure clarity, accountability, and progress on all initiatives.
  3. Attends and supports operations and leadership meetings by capturing action items, assigning follow-ups, and monitoring progress to ensure successful execution.
  4. Prepares and delivers weekly reports, including activity updates, action-item tracking, and recap summaries outlining progress, challenges, and next steps.
  5. Develops and maintains systems to track initiatives, deadlines, and deliverables to support clarity and organizational alignment.
  6. Maintains and updates operations calendars for interworking group use, including branded and non-branded events, Hope In Every Community training, and Summer Feeding distributions.
  7. Prepares accurate and timely updates for U.S. Program leadership meetings, ensuring alignment with ministry priorities.
  8. Coordinates and supports trainings and engagement initiatives, including promotion, registration, logistics, and communication; provides administrative support for training platforms and resources; and assists in cross-departmental coordination to ensure alignment and effective execution.
  9. Provides administrative support for all Church Engagement events, assisting with planning, coordination, communication, logistics tracking, and post-event follow-up.
  10. Serves as a communication liaison to ensure updates, data, and ministry information are clearly communicated to appropriate stakeholders.
  11. Identifies opportunities to strengthen processes, improve collaboration, and enhance operational effectiveness within Church Engagement.
  12. Fulfills all other duties as assigned.

 

Required Knowledge, Skills, and Abilities:

  1. Three years’ experience in office administration, project coordination, or a related field is required. A bachelor's degree in a relevant field is preferred; a high school diploma or equivalent is required.
  2. Strong organizational and project management skills with the ability to manage multiple priorities and deadlines.
  3. Excellent verbal and written communication skills, including the ability to create, edit, and proofread correspondence and reports.
  4. Bilingual proficiency in Spanish (reading, writing, and speaking) is preferred.
  5. Ability to work collaboratively across teams while maintaining a high level of professionalism and relational awareness.
  6. Strong attention to detail with the ability to track and follow through on multiple initiatives simultaneously.
  7. Exhibits strong Mac or PC proficiency and working knowledge of Google Workspace and Microsoft Office, with the ability to quickly learn Monday.com or other COH systems as needed.
  8. Ability to exercise sound judgment, maintain confidentiality, and operate with a high level of discretion.
  9. Willingness and ability to travel domestically as needed.
  10. Willingness to continue learning and growing in administrative, operational, and ministry-related competencies.

  4. Attends and actively participates in COH At Home Week meetings and activities as a required responsibility to the organization and fellow team members.
  5. Serves as an advocate for the ministry, striving to nurture, broaden, and develop financial and other resource opportunities to support and expand organizational and program ministry.
  6. Positively represents the ministry of Convoy of Hope, including its mission statement and core values, to all outside constituencies.

 

Supervisory Responsibilities:  

This position may have direct supervisory responsibilities of volunteers.
