Talent Acquisition Coordinator (HR /Recruiting Support)
- Job Location: Lexington, MA (hybrid, 2 days on-site)
- Schedule: M-F
Overview
We are seeking a detail-oriented and organized Talent Acquisition Coordinator to support recruiting operations and workforce administration. This role plays a key part in delivering a positive experience for candidates, hiring teams, and external workforce partners while ensuring efficient coordination of recruiting and HR processes.
The ideal candidate is proactive, highly organized, comfortable managing multiple priorities, and skilled at building strong working relationships across teams.
Key Responsibilities
Recruiting & Candidate Coordination
- Coordinate interviews and scheduling for candidates and hiring teams
- Support onboarding and pre-employment administrative processes
- Provide general employment and policy-related information to candidates and employees
- Maintain accurate recruiting and candidate records within internal systems
- Support hiring managers and HR teams throughout the recruitment lifecycle
Workforce & Vendor Coordination
- Assist with contingent workforce administration and related documentation
- Support contract tracking, renewals, and compliance-related follow-ups
- Coordinate meetings, business reviews, and workforce-related communications
- Assist with maintaining workforce data and reporting within HR/vendor management systems
- Collaborate with internal teams and external partners to ensure timely responses and process adherence
- Support training coordination and tracking activities
- Maintain organized electronic documentation and shared resources
Administrative & HR Support
- Provide administrative support to HR and Talent Acquisition teams
- Assist with employee lifecycle processes including onboarding and offboarding activities
- Take meeting notes and distribute follow-up documentation as needed
- Identify opportunities to improve processes and operational efficiency
- Anticipate team needs and proactively recommend solutions
Qualifications
Required Qualifications
- High school diploma or equivalent
- 3 years of administrative support experience
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Experience with:
- Microsoft Office Suite (Excel, Outlook, PowerPoint, Word)
- Data entry and record management
- Meeting coordination and scheduling
- Applicant tracking systems or HR systems
Preferred Qualifications
- Experience supporting recruiting or HR operations
- Familiarity with applicant tracking systems and HR software
- Experience working with vendor management systems
- Understanding of contingent workforce processes
- Bachelor’s degree preferred
Additional Information
- Hybrid work schedule with partial onsite requirements
- Interview process may include virtual and onsite interviews
- Candidates must be US citizens and be able to get a security clearance
Salary : $30 - $40
