A well-established boutique law firm serving high-net-worth individuals and families is seeking an experienced Estate Administration Paralegal to join our growing trusts and estates practice.
The ideal candidate will have significant experience managing complex estate administrations from initial client intake through final distribution and closing. This position requires a high degree of professionalism, attention to detail, discretion, and the ability to work independently in a fast-paced environment.
Responsibilities
- Manage all aspects of estate and trust administration matters.
- Prepare and file probate and estate administration documents.
- Communicate directly with executors, trustees, beneficiaries, financial institutions, accountants, and other advisors.
- Gather, organize, and analyze asset and liability information.
- Prepare estate accountings and distribution schedules.
- Assist attorneys with administration of taxable estates.
- Prepare and/or substantially assist in the preparation of Pennsylvania Inheritance Tax Returns (PA REV-1500).
- Prepare and/or substantially assist in the preparation of Federal Estate Tax Returns (IRS Form 706).
- Coordinate valuation information and supporting documentation for estate tax filings.
- Track filing deadlines and administration milestones.
Qualifications
- Minimum 5 years of estate administration experience in a law firm, trust company, family office, or comparable environment.
- Demonstrated experience preparing PA REV-1500 and Federal Form 706 returns.
- Strong understanding of probate, trust administration, estate taxation, and fiduciary responsibilities.
- Experience working with high-net-worth and ultra-high-net-worth clients preferred.
- Exceptional organizational and project management skills.
- Proficiency with Microsoft Office and estate administration software.
- Ability to manage multiple matters simultaneously while maintaining accuracy and client service standards.
Preferred Experience
- Administration of estates with closely held business interests, investment portfolios, real estate holdings, or complex trust structures.
- Coordination with CPAs, valuation experts, and financial advisors.
- Preparation of fiduciary accountings.
