Duties
- Manage calendar scheduling, appointment setting, and meeting coordination to optimize team productivity
- Oversee vendor management by coordinating service providers, supplies, and equipment maintenance
- Handle bookkeeping and accounting tasks using accounting software such as QuickBooks; maintain accurate financial records
- Support human resources functions including onboarding, training, employee records management, and payroll processing
- Organize and facilitate event planning for meetings, company functions, and community outreach initiatives
- Maintain filing systems, manage confidential information with discretion, and ensure compliance with organizational policies
- Provide excellent customer service by addressing client inquiries via phone or email with professionalism and clarity
Skills
- Proven experience in office management or administrative roles with strong clerical skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and spreadsheets for data organization and reporting
- Familiarity with accounting software such as QuickBooks or similar financial tools; experience with bookkeeping and budgeting is a plus
- Strong communication skills—both verbal and written—with the ability to handle client communication effectively
- Demonstrated ability to supervise or lead teams; experience in training & development is advantageous
- Exceptional organizational skills with keen attention to detail in scheduling, filing, and record keeping
- Ability to manage multiple priorities efficiently while maintaining professionalism under pressure
- Knowledge of medical office management or healthcare environment is desirable but not required
