Job Summary
A professional services organization is seeking an experienced Legal Executive Assistant to provide high-level administrative and legal support to senior attorneys within the Labor & Employment practice group. This role is responsible for managing complex calendars and communications, preparing and organizing legal documentation, and supporting litigation and client service activities in a fast-paced environment. The Legal Executive Assistant plays a critical role in maintaining efficient practice operations, ensuring accuracy of legal filings and documentation, and supporting attorneys with executive-level coordination and administrative management.
Key Responsibilities
- Provide proactive executive and administrative support to Shareholders, Associates, and legal professionals.
- Manage complex calendars, schedule meetings, depositions, conference calls, and video conferences, and coordinate appointment changes and confirmations.
- Receive, prioritize, and redirect calls, emails, and communications appropriately.
- Prepare, proofread, redline, edit, and format legal documents including pleadings, agreements, memoranda, briefs, and correspondence under strict deadlines.
- Assist with drafting legal and administrative documents as needed.
- Prepare and electronically file pleadings, briefs, and court submissions in accordance with court rules and procedures.
- Maintain and organize electronic and paper client files using document management systems.
- Utilize document management and legal software systems to support retention, organization, and retrieval of documents and emails.
- Assist with billing activities, invoice preparation, expense reporting, and related accounting functions.
- Coordinate travel arrangements and logistics for attorneys and legal staff.
- Maintain attorney contacts and client information within CRM and Firm systems.
- Support litigation and document production projects in collaboration with internal support teams.
- Prepare presentations, reports, agendas, and internal communications as needed.
- Track litigation deadlines and maintain docket calendars to ensure timely filings and compliance.
- Handle confidential legal and business documents with discretion and professionalism.
- Collaborate with attorneys, legal assistants, litigation support, and administrative teams across multiple offices and practice groups.
Minimum Education & Experience Requirements
- High school diploma or equivalent required; bachelor’s degree preferred.
- Minimum of 5 years of executive-level administrative or legal assistant experience required.
- Prior experience supporting attorneys, executives, or senior leadership in a law firm or professional services environment strongly preferred.
- Experience with litigation support, legal document preparation, court filings, and docket management preferred.
- Experience working within Labor & Employment or litigation practice groups is highly desirable.
- Prior experience using document management systems such as NetDocs or similar platforms preferred.
Special Requirements
- Ability to work overtime as needed to meet business and client demands.
- Experience with electronic filing procedures in state and federal courts preferred.
- Ability to maintain strict confidentiality with sensitive legal and client information.
- Strong understanding of legal terminology, court procedures, and litigation workflows preferred.
Knowledge, Skills, and Abilities
- Advanced proficiency with Microsoft Office applications including Word, Outlook, Excel, and PowerPoint.
- Strong knowledge of legal document formatting, proofreading, editing, and redlining.
- Excellent organizational and time management skills with the ability to manage multiple priorities simultaneously.
- Strong written and verbal communication skills with the ability to interact professionally with attorneys, clients, court personnel, and internal staff.
- Ability to prioritize tasks and work effectively in a fast-paced, deadline-driven environment.

- Experience using legal document management systems and electronic filing systems.

Salary : $60,000 - $70,000
