Contracts Specialist
Healthcare Staffing & Technology Company - Newark, NJ
Monday through Friday, 8:30am to 5:30pm - Onsite
$60,000 to $70,000 annually, commensurate with experience
Job Summary:
We are seeking an organized, detail-oriented, and client-savvy Contracts Specialist to join our growing Contracts and Pricing Team. In this role, you will serve as a key client-facing contributor - communicating directly with prospective and existing clients to negotiate, redline, and finalize staffing agreements. While this is not an outbound sales role, you will use strong sales-oriented communication skills to advance contracts through the deal cycle, partner with our Legal department on redlines, and ensure that every executed agreement is accurately captured in our proprietary staffing software. You will also play a central role in our RFP process, pricing analysis, and account setup, working closely with leaders across the company.

Essential Responsibilities and Duties
· Communicate directly and professionally with prospective and existing clients to advance and execute staffing agreements - this is a client-facing, sales-oriented role, not an outbound sales position
· Redline and revise client contracts using approved templates and guidance from the Legal department; escalate non-standard terms and complex issues as appropriate
· Review and analyze incoming contracts to identify potential risks, ambiguities, and business issues, and recommend appropriate revisions
· Prepare, complete, and submit Requests for Proposal (RFPs) using existing templates; develop and maintain new RFP templates and response libraries to support a growing pipeline
· Research and apply pricing and hourly rate information for clients, including periodic market-rate research to ensure competitive and profitable pricing
· Set client rates and complete new account setup in our proprietary staffing system
· Accurately and completely input all contract terms, addendums, and requirements into our proprietary staffing software, ensuring data integrity across systems
· Maintain accurate, up-to-date records and contract files using tools such as Gmail, Word (Track Changes / Redlining), Excel, and proprietary software
· Partner with leaders across Sales, Legal, Finance, Account Management, and Operations to ensure smooth contract execution and seamless client onboarding
· Calculate margins and understand the financial implications of contracts, rates, and pricing structures
· Support process improvements that strengthen the company's contracting, pricing, and RFP workflows
Required Qualifications
· Highly organized, with the ability to manage multiple contracts, RFPs, and deadlines simultaneously
· Strong written and verbal communication skills, with confidence speaking directly to clients
· Sales-oriented communication style paired with a strong customer-service mindset
· Working knowledge of contract structure and the ability to read, interpret, and identify issues in contract language
· Proficiency in Microsoft Word (including Track Changes and Redlining), Excel, and Gmail, and the ability to learn proprietary systems quickly
· Solid math and analytical skills to evaluate pricing, hourly rates, and margins
· Self-motivated, able to work independently with minimal supervision while collaborating effectively across departments
· High attention to detail and strong follow-through
Preferred Qualifications
· Prior experience reviewing or redlining contracts under the guidance of an in-house or outside legal team
· Experience preparing or coordinating RFP responses and building/maintaining RFP templates
· Familiarity with healthcare staffing, professional services, or another contract-driven industry
· Experience conducting market or pay-rate research
· Experience setting up client accounts or rate structures in a CRM or proprietary system
