Safety Clerk

Position Summary

The Safety Clerk is responsible for providing essential administrative and clerical support to the Safety Department. This role ensures efficient office operations, maintains critical safety documentation, and assists in compliance with all DOT and FMCSA regulations. A key requirement for this role is holding an active CDL-A to assist with occasional road tests.

Key Responsibilities

• Road Testing: Maintain an active Commercial Driver's License (CDL-A) to perform or assist with driver road tests as needed.
• Orientation Coordination: Coordinate the new driver orientation process, ensuring all steps are completed efficiently and keeping the process on track.
• Communication: Serve as a primary point of contact for drivers and staff regarding safety matters, requiring frequent and professional communication via phone calls.
• Data Management: Perform accurate data entry for all safety records, including driver qualification files, accident reports, training logs, and compliance documentation.
• Travel Arrangements: Arrange and coordinate travel logistics for new hires, including flights, hotels, and transportation.
• Office Administration: Execute general office duties such as filing, organizing documentation, managing supplies, and responding to correspondence.
• Compliance Support: Assist in monitoring driver logs (HOS/ELD) and tracking necessary documentation for maintenance and regulatory compliance.

Schedule

• Hours: Monday – Friday, 8:00 AM – 5:00 PM in office in El Reno, OK.
• Reliability: Must be punctual, reliable, and maintain consistent attendance.

Qualifications and Skills

• Licenses/Certifications: Must possess and maintain an active Class A Commercial Driver's License (CDL-A).
• Computer Skills: Proficient in Microsoft Office (Excel, Word, Outlook) and comfortable learning various other company-specific programs and safety management software.
• Experience: Previous experience in an office administrative role is required. Experience within the transportation, logistics, or safety industry is a significant plus.
• General Knowledge: Solid understanding of general office procedures and best practices.
• Communication: Excellent verbal and written communication skills, with a professional phone manner.
• Attributes: Strong attention to detail, highly organized, proactive, and capable of handling confidential information discreetly.
