A newly established, entrepreneurial single-family office comprised of two principals is seeking a highly capable and self-directed Director of Operations to build, manage, and optimize the firm’s operational infrastructure. This individual will serve as the central point of coordination across investment operations, accounting, service providers, and internal workflows. The ideal candidate brings hands-on experience in alternative investment operations, exceptional organizational discipline, and the ability to thrive in a lean, fast-moving environment.
Key Responsibilities
Investment Operations
- Oversee end-to-end investment operations for a diversified portfolio with a strong emphasis on alternative investments (private equity, hedge funds, real assets, direct deals, venture, and co-investments).
- Manage capital calls, distributions, wire processing, subscription/redemption documents, and investor reporting requirements.
- Maintain accurate investment data, performance tracking, liquidity schedules, exposure monitoring, and document management.
- Coordinate onboarding of new investments, ensuring compliance with internal controls and external requirements.
- Interface with fund managers, administrators, custodians, and other third-party partners to ensure timely and accurate information flow.
Financial & Administrative Operations
- Develop and maintain operational processes, controls, and best practices aligned with a small-office environment.
- Support oversight of bookkeeping, financial reporting, and budgeting in collaboration with external accountants or internal resources.
- Manage cash flow monitoring, bank relationships, payment activity, and expense administration.
- Ensure timely filing and organization of tax documents, K-1s, and audit materials.
Infrastructure & Office Management
- Establish workflows, procedures, and operational systems appropriate for a start-up family office.
- Implement technology tools (portfolio management systems, document storage, workflow tools) that enhance efficiency and transparency.
- Coordinate with legal, tax, and compliance advisors to support entity management, governance, and regulatory obligations.
Salary : $185,000 - $195,000
