Job Summary:
About the Role:
The Operations Coordinator provides overall management of all residential operations (under the direction of the Director of Residence Life), monitors residential facilities in partnership with Facilities Management, and maintains strong working relationships with key campus partners and is the main point of contact for students and parents when they have Residence Life questions.
This position is a member of the Residence Life professional staff team, which consists of the Director of Residence Life, Assistant Director for Residential Education, Assistant Director for Residential Support, Area Coordinators, and Hall Directors.
Job Duties:
Occupancy Management (50%)
- Design and implement new and returning student housing application process for Fall, Spring and Summer terms
- Manage the move-in, move-out, winter break, late-stay and early-arrival processes
- Act as System Administrator for StarRez housing software and train other staff
- With Director, develop occupancy management strategies to benefit both the student experience and maximize resources
- Coordinate the housing exemption process
- Manage billing, housing data and relevant housing reports
- Process room changes, withdrawals and cancellations
Liaison with Facilities (20%)
- Meet regularly with building services staff and other Facilities partners
- Train staff on appropriate key control methods, and monitor all keys and FOBs - in partnership with Facilities Management
- Establish guidelines for damage billing and train staff on conducting room inspections
- Partner with building services to ensure smooth transitions between academic terms
- Act as key point of contact for vendors and contracts
- Coordinate break checks
Communication with Key Stakeholders (15%)
- Maintain strong working relationships with a variety of offices on campus, including: Enrollment, Athletics, Facilities, Business
- Office, Financial Aid, Global Learning, Conferences & Events, and Public Safety
- Develop and distribute relevant and timely housing communications for students (housing application details, timelines, move-in logistics, etc.)
- Ensure accuracy and accessibility of information on department website and affiliated social media accounts
General Office Management (15%)
- Assist students, parents, and staff with questions and concerns, and collect, process, and direct departmental correspondence
- Manage the departmental e-mail account and phone line
- Train and supervise student office assistants to perform these general office duties
- Develop and maintain procedural documentation for office operations
- Maintain office efficiency by planning and ordering office supplies and keep office equipment in good working condition

Qualifications:
Minimum Qualifications:
- Bachelor’s degree OR relevant professional experiences
- Familiarity with the residential college environment OR related private sector housing environment
- Familiarity with housing software (StarRez) OR other similar technology/databases

- Previous professional Residence Life Experience
