Job Summary

Concord University seeks a highly organized, dependable, and enthusiastic team member to serve as an Administrative Associate for the University's federally funded TRIO Upward Bound programs. Concord administers two Upward Bound programs serving eligible high school students from Mercer, Greenbrier, and McDowell Counties and Mercer, Monroe, and Summers Counties, respectively. The programs are funded by the U.S. Department of Education and assist students who are from low-income families, are potential first-generation college students, or need academic support in preparing for postsecondary education. Upward Bound provides academic instruction, tutoring, advising, college and career exploration, financial aid and financial literacy information, and cultural enrichment to increase high school completion, college enrollment, and persistence toward degree attainment.

This is a twelve-month, full-time position contingent upon continued federal funding.

The primary purpose of the Administrative Associate position is to coordinate the administrative and logistical functions of Concord University's two Upward Bound programs and support staff, participants, and program activities. Duties include program records, scheduling, communications, participant documentation, events, and other day-to-day grant operations.
The position also provides logistical support for the intensive summer component, generally a six-week instructional experience, including scheduling, transportation, instructional materials, college visits, cultural and educational activities, and participant records.

Duties and Responsibilities

Duty/Responsibility

General
  • Ensure that details and logistics for Upward Bound programs are identified and completed.
  • Assist with event planning, registrations, summer program details, staff/student travel, and program communication.
  • Document, take minutes and report attendance for meetings, training, and program activities.
  • Maintain program event information and communications.
  • Assemble materials for training, workshops, and summer instruction.
  • Assemble notebooks for training purposes and workshops, thus requiring copying and collation
  • Receive telephone calls; greet office visitors, and direct individuals to the appropriate staff member
  • Order and maintain office and program supplies

  • Maintain required participant, program, and compliance documentation.
  • Maintain organized hard-copy and electronic filing systems.
  • Maintain the Upward Bound shared file structure and ensure records are appropriately filed and unduplicated.
  • Assist in complete internal file audits.

  • Assist in:
    • Preparing purchasing and pre-approval documentation.
    • Verifying invoices and forwarding required paperwork to the Director and appropriate University fiscal staff.

  • Assist in maintaining parent and student contact information in approved communication systems.
  • Assist Upward Bound staff with program announcements and communications.
  • Attend training on approved communication systems.
  • Assist in monitoring program communications and facilitating timely responses.

  • Assist with required reports, database upkeep, and participant records.
  • Perform data entry and validation.

Associate's

Required Licenses/Certification

Associate degree with at least 5 years' experience in office management or Bachelor's degree with 2 or more years' experience.

Required Skills
  • Ability to work independently, exercise good judgement, and maintain the highest level of confidentiality.
  • Must be able to multi-task and be flexible with changes, both internal and external, while meeting the required deadlines.
  • Organization skills are a must.
  • Strong computer skills including Microsoft Office
  • Ability to create and maintain an accurate and organized filing system.
