BACKGROUND
Concord Professional Services is looking for talent interested in long-term, on-site, full-time (40 hours/week) supporting, through contract, The Department of Justice, United States Attorney's Office (USAO), Middle District of Tennessee to perform as a seasoned Administrative Clerk/Receptionist in the Administrative Division in the Nashville, Tennessee office.
SPECIFIC REQUIREMENTS
· The selected Contractor shall provide services to include, but not limited to the following:
· Produces a variety of written documents utilizing varied and advanced word processing software functions, working from handwritten draft, edited copy, or electronic files created by another staff member. Final copy may be in one of several formats, each requiring the use of advanced functions to perform extensive editing functions and frequently involving specialized terminology.
· Uses a variety of advanced word processing functions, e.g., to create tables of contents and lists of exhibits. Creates, copies, edits, makes insertions and deletions, and moves text throughout a single document and from one electronic word processing file to another. Stores, retrieves, and prints a variety of documents to include those requiring complex formats such as graphics or tables within text. Ensures documents are in proper format, and that spelling, punctuation, capitalization, and grammar have been verified. Consults with document author to resolve questionable material.
· As required, secures statistical or other information from files and related sources when required, and inputs selected information into appropriate database or spreadsheet files. Sorts, calculates and retrieves data for standard reports, uses graphics software to provide graphic symbols, charts and graphs for viewgraphs.
· Utilizes, as required, other software applications. Overall work assignment is characterized by a varied and advanced functions of one software type and/or a variety of functions of more than one software type to perform assignments.
· Provides a variety of ancillary office support functions requiring some subject-matter knowledge of the assigned unit's programs and operations. In this regard performs a full range of clerical assignments.
· General responsibility for support of sections within the Administrative Division with special emphasis on back-up for the front desk.
· Escorts visitors for the Administrative Division (maintenance personnel, service technicians, shred company, etc.).
· Maintains supply stock levels in all the supply locations and notifies Procurement when supplies need to be re-ordered.
· Helps to maintain the supply stock rooms and ensures they are clean and organized.
· Mail runs (this will include the need to take certified mail to the post office 4 blocks away).
· Checks copier levels of paper, toner, staples, waste toner level and general workability. Notifies IT if there are any errors.
· Moves supplies and equipment that arrives to the proper storage or staging area at the direction of the Administrative Division staff that is responsible for said items.
· Provides support for reception "Front Desk". Meeting and greeting visitors, logging them into the visitor system and notifying the person they are here to see. Answers the telephone and forwards the call, takes a message and delivers it to the appropriate individual, or screens the call for referral to a different agency if appropriate. Court calls must be sent to the appropriate legal staff that will properly respond to the call.
· Assists receptionist in assignment of conference rooms, applying postage to letters/packages and certified mail. Receives and ships UPS/FedEx. Receives and distributes hand delivery items to internal staff and visitors as appropriate.
· While manning the front desk, monitors the CCTV of the exterior doors, resets the alarm panel when appropriate and communicates with the MegaCenter of the status of alarms that go off.
· Operates copying machine. Displays working familiarity with essential machine features to ensure the required number of copies are produced in the proper format. Collates and staples material as necessary.
· Sorts and arranges material for filing and files material in alphabetical, numerical or chronological order. Locates filed material based on working knowledge of office filing system. Receives case files or other materials which have been classified and files under established file headings. Prepares cross references as necessary and as required, participates with office staff m file close-out.
· Performs other related duties as assigned.
EDUCATION/EXPERIENCE REQUIREMENTS
· High School Diploma required.
· proficient in Microsoft Office software programs (i.e., Word, Excel and Outlook).
· Previous Reception experience desired
· Prior experience working with little/no direction and ability to manage schedules
· Skill in operating a computer terminal, or personal computer, in order to produce a wide range of documents.
· Minimum of three (3) years’ experience with clerical duties in a professional office environment is required, in a Legal office setting is preferred.
FEDERAL CLEARANCE REQUIREMENT
This is a Federal contract, supporting a position involving sensitive material. As such Federal Clearance will be required to be in place, prior to onboarding for the position. Candidates MUST be able to obtain Federal clearance to apply for the assignment. If you do not already possess a clearance, the onboarding process can take four to six weeks to obtain onboarding status. Candidates should be prepared to wait for onboarding. To obtain clearance, candidates must possess clear criminal history and solid credit standing (no active bankruptcy, no outstanding/unpaid liens or significant delinquencies in debt payment).
PERIOD OF PERFORMANCE
This is a long-term contract support effort. Expectations will be Base Year, plus four (4) option years of support pending continued funding, which is expected, through contract. The estimated period of performance is through August 30, 2028, pending all Option Years are exercised.

HOURS OF OPERATION
Work will be performed 40 hours per week during normal business hour, from 8:30 a.m. to 5:00 p.m. (work hours may vary depending on the office's needs), Monday through Friday, excluding Federal holidays. The individual shall work in an office setting; some walking, standing, bending, and carrying of small office items is required. This position is NOT a telework eligible position.
COMPENSATION AND BENEFITS
· Base Hourly Wage - $16.85/hr.
· Health and Welfare Benefit $4.57/hr. (Used to purchase into Concord’s Group Benefits options (Medical, Dental, Vision, Life, ST/LT disability included, OR, if benefits are not a requirement, taken as additional taxable wage.
· Paid Time Off (PTO) Package – includes;
· Vacation – 80 hours (annual award)
· Sick – up to 56 hours annually (accrued 2.15/ppp)
· Holiday – 11 paid Federal Holidays
· COL Increases – Annual COL Increases will be provided with contract renewal of 2.0% on Base Wage.
