Position Summary
The Receptionist plays a key role in supporting daily operations as the primary administrative presence in our Jersey City office. This individual must maintain a professional appearance, demonstrate strong organizational and communication skills, and exhibit a high level of initiative, reliability, and teamwork.
Responsibilities and Duties
- Greet and meet customers
- Answer phones and direct incoming calls
- Manage conference room bookings via email request
- Track and follow-through on customer complaints
- Distribute and obtain signoffs for new hire badges
- Place break/fix requests via an online order system (facilities or service issues)
- Maintain and update The Termination list and distribute
- Place business card and memo pad requests as needed
- Provide support in the prepping and distribution of electronic mail
- Effectively interact and communicate with all levels of technical and non-technical personnel
- Incorporate mail service with our national mailroom team
- Wiped down kitchen counters and coffee bar area
- Place orders for coffee and office supplies
- Set up lunch for office meetings
- Report any office maintenance issues
Technical Skills
- Proficiency in Microsoft Office Suite
- Experience managing Outlook calendars
- Familiarity with online ordering systems
Education and Experience
- High school diploma or equivalent required
- 3–5 years of relevant work experience, preferably in a receptionist or administrative role
- Strong organizational, communication, and time management skills
- Self-motivated, dependable, and able to work independently
- Demonstrates accountability, teamwork, and a positive professional attitude
