Position Summary
The Office Administrator plays a key role in supporting daily operations as the primary administrative presence in the Raleigh office. This individual must maintain a professional appearance, demonstrate strong organizational and communication skills, and exhibit a high level of initiative, reliability, and teamwork.
Responsibilities and Duties
- Greet and assist visitors, clients, and employees in a professional manner
- Receive and manage incoming mail and packages
- Coordinate and manage conference room bookings via email requests
- Track, monitor, and follow up on customer complaints to ensure resolution
- Distribute and collect sign-offs for new hire badges
- Submit and track break/fix requests through the online facilities system
- Maintain and distribute the termination list with accuracy and timeliness
- Order business cards and memo pads as needed
- Support the preparation and distribution of electronic communications
- Communicate effectively with both technical and non-technical personnel at all levels
- Collaborate with the national mailroom team to ensure efficient mail services
- Maintain cleanliness of shared spaces, including kitchen counters and coffee areas
- Order and manage inventory for coffee and office supplies
- Coordinate lunch setup for meetings and office events
- Clean office refrigerators weekly (every Friday)
- Clean office microwave(s) weekly (every Friday)
- Report office maintenance issues to the Facilities Manager
Technical Skills
- Proficiency in Microsoft Office Suite
- Experience managing Outlook calendars
- Familiarity with online ordering systems
Education and Experience
- High school diploma or equivalent required
- 3β5 years of relevant work experience, preferably in a receptionist or administrative role
- Strong organizational, communication, and time management skills
- Self-motivated, dependable, and able to work independently
- Demonstrates accountability, teamwork, and a positive professional attitude
