Duties

  • Oversee daily office operations, including front desk management, multi-line phone systems, and service call dispatching.
  • Manage vendor relationships, negotiate contracts, and coordinate service providers to ensure timely delivery of supplies and services
  • Handle bookkeeping tasks using QuickBooks including invoicing, expense tracking, and bank reconciliations
  • Maintain accurate financial records through diligent filing, data entry, and regular review of budgets and expenses
  • Assist with human resources functions such as onboarding new employees, managing payroll processes.
  • Ensure compliance with office policies and procedures while maintaining a professional and welcoming front desk and telephone presence

Skills

  • Proven experience in office management or administrative roles with strong organizational skills
  • Demonstrated proficiency in bookkeeping software QuickBooks and familiarity with basic accounting principles
  • Excellent communication skills—both verbal and written—with professional phone etiquette
  • Strong calendar management abilities to coordinate schedules efficiently.
  • Knowledge of vendor management practices to build positive relationships with suppliers and service providers
  • Experience in human resources functions such as payroll processing
  • Ability to handle clerical tasks including filing, data entry, and managing multi-line phone systems with professionalism.
