DESCRIPTION OF WORK

This position provides essential clerical support to the Energy Assistance Program, helping staff manage applications, records, and customer communication. As a Clerical Assistant 2, you will perform the following duties:

  • Mail Handling: Open daily mail and distribute or attach materials to applications already in progress
  • File Management: Maintain alphabetical files for incoming, pending, and completed applications as well as computer printouts
  • Customer Contact: Answer telephones, make referrals, take messages, and arrange interviews or send applications as needed
  • Program Outreach: Make collateral contacts with agencies and vendors to support the LIHEAP Outreach Program
  • Document Preparation: Complete memos, letters, and forms from handwritten or drafted materials and proofread for accuracy
  • Computer Processing: Process applications, update information, reissue grants, retrieve reports, and review data for accuracy

Work Schedule and Additional Information:
  • Full-time, seasonal employment, 37.5 hours per week.
    • This is a full-time, seasonal position that typically runs for 6-8 months during the fall and winter seasons to assist clients in the process of applying for heating assistance.
  • Work hours are 8:30 AM to 5:00 PM, with a 1-hour lunch.
  • Travel and overtime as needed.
  • Work Conditions: Assigned duties are performed in a controlled office environment. In counties with District Offices, employees may be reassigned to different work sites due to operational needs. Reassignments will be made in compliance with contract language.
  • Telework: This position may be eligible to telework part time. Specific details of the telework schedule will be discussed during the interview process. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Indiana, PA. The ability to telework is subject to change at any time.
  • Salary: Selected candidates who are new to employment within the Commonwealth of Pennsylvania will begin employment at the starting hourly rate of $18.83 (before taxes).

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS
Minimum Experience and Training Requirements:
  • Six months as a Clerical Assistant 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • Graduation from high school; or
  • An equivalent combination of experience and training.

  • Hiring preference for this vacancy will be given to candidates who live within Indiana County. If no eligible candidates who live within Indiana County apply for this position candidates who reside in other counties may be considered.
  • You must be able to perform essential job functions.
