We’re seeking an Elections Specialist who shares this commitment to detail, critical thinking, and accountability.
Role Overview
The Operations Specialist will support the planning, execution, and post-election operational processes of elections for our customer base. This role will work cross-functionally with Programming, Customer Relations, Sales, and vendor partners to ensure election supplies, equipment, and data flows are managed effectively.
The ideal candidate is comfortable with fast-paced, deadline-driven environments, has strong coordination and tracking skills, and understands the unique operational demands of election administration.
Key Responsibilities
- Assist in the development and implementation of the operational plan for each election cycle, including timelines, milestones, deliverables and contingency planning.
- Manage inventory, logistics and equipment deployment: track supplies (ballots, voting machines, etc.), coordinate packing, mobilization and return of materials.
- Monitor and report on operational status (e.g., equipment readiness, election media logs). Identify bottlenecks or risks, propose solutions, and escalate as needed.
- Ensure compliance with electoral regulations, customer and vendor contracts, data security and confidentiality protocols. Maintain accurate operational documentation and audit-ready records.
- Coordinate with technology/IT teams on loading/configuring voting systems, verifying equipment functionality, trouble-shooting field issues, and supporting chain-of-custody of election data.
- Support Customers during election support times via phone and in person as needed.
- Support post-election wrap-up: equipment maintenance/returns, reporting of outcomes, lessons-learned debrief and updating of standard operating procedures (SOPs).
- Participate in election-day and post-election operations, including irregular hours, weekends or holidays as required.
- Travel (overnight, during week) required at times between April and August to central locations to perform annual voting equipment maintenance and updates as needed.
- Travel as needed to deliver equipment and train customers on equipment.
Qualifications
Required:
- High school diploma or equivalent; college coursework in business or related field preferred.
- Demonstrated experience (at least 2 years) of operations or process-oriented work in a deadline-driven environment.
- Strong organizational skills with attention to detail and ability to manage multiple tasks simultaneously.
- Excellent verbal and written communication skills; able to interact with internal teams, vendors and customers.
- Proficiency in Microsoft Office (SharePoint, Excel, Word, PowerPoint) and ability to learn other applications.
- Ability to work under pressure, meet tight deadlines, travel as needed, and handle irregular hours during election periods.
- Strong sense of integrity, confidentiality and compliance orientation.
- Independent worker, self-starter.
- Successful applicants will be required to pass a background check which includes a review of their driving record.
- Must be able to lift 50 pounds on regular basis (i.e. during maintenance/quality inspections and shipping).
