Duties
- Provide comprehensive administrative support to executives, including calendar management, scheduling meetings, and coordinating appointments.
- Handle incoming calls using multi-line phone systems with professionalism and courtesy, ensuring excellent phone etiquette.
- Manage correspondence, emails, and documents with precision, including proofreading and data entry tasks.
- Organize files, maintain records, and oversee document filing systems both physically and digitally using Google Workspace and Microsoft Office tools.
- Assist with office management duties such as ordering supplies, overseeing front desk operations, and ensuring a welcoming environment for visitors.
- Support bookkeeping activities including basic QuickBooks data entry and tracking expenses.
- Coordinate travel arrangements, prepare agendas, and assist with personal assistant responsibilities as needed.
- Provide exceptional customer service by supporting client inquiries and offering support in person or via phone.
- Maintain organizational efficiency through time management skills, prioritizing tasks effectively to meet deadlines.
Experience
- Proven office experience or clerical background with a strong emphasis on administrative support roles.
- Prior experience as a receptionist or medical/dental receptionist is highly desirable.
- Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry platforms like QuickBooks.
- Excellent organizational skills with the ability to manage multiple priorities simultaneously.
- Strong typing skills along with meticulous proofreading abilities to ensure accuracy in all communications.
- Bilingual capabilities are a plus to effectively serve diverse clients and team members.
- Experience in customer service or customer support roles that require professional phone etiquette and interpersonal skills.
- Familiarity with office management procedures such as filing systems, calendar management, and multi-line phone systems is essential.
