The Project Coordinator at Columbia River Plumbing plays a vital role in supporting our project and sales teams by ensuring timely and accurate documentation, communication, and coordination. WHAT SUCCESS LOOKS LIKE

  • Taking ownership of your work and treating the company like your own.
  • Accurately tracking project tasks, milestones, and documentation. Supporting project managers and field teams to keep jobs on schedule.
  • Proactively solving problems and communicating status updates clearly.
  • Supporting contract admin, submittals, RFI tracking, and sales tasks.
  • Using digital tools to stay organized and keep teams aligned. Leading with initiative and curiosity—offering solutions, not just identifying problems.

OBJECTIVES

  • Maintain and track submittals, RFI logs, equipment/material orders, and closeout procedures.
  • Support scheduling, bids, and project updates—ensuring timeliness and accuracy.
  • Help manage documentation, project progress, and contract administration.
  • Coordinate with field Project Manager/Field Operations, Operations, Sales, and estimating teams to maintain alignment.
  • Participate in weekly reporting and KPI tracking across project lifecycle.
  • Review and create contracts, organize files, and assist with sales pipeline documentation.
  • Prepare follow-ups, call logs, and customer engagement documentation (CRM tasks).
  • Contribute to brand loyalty by tracking customer retention metrics and sales activities.

COMPETENCIES

  • Able to prepare and track submittals, understand and read specs.
  • Understands contract documents and construction timelines.
  • Works well with subcontractors, vendors, PMs, and field staff.
  • Proactive with status updates, meeting notes, and customer/client communication.
  • Able to manage multiple tasks and priorities across jobs.
  • Strong digital fluency in BuildOps or similar CRM, Microsoft Office, Teams.
  • Supports customer retention, proposal tracking, and post-project wrap-up. Knowledge of compliance, safety, and permitting documentation preferred.

EDUCATION AND EXPERIENCE

  • 2 years of administrative, coordination, or construction office experience.
  • Familiarity with plumbing, trades, or construction is a plus.
  • Associate or bachelor’s degree in business, project management, or related field preferred.
  • Experience with project coordination, scheduling, or contract administration required.

PHYSICAL REQUIREMENTS

  • Primarily office-based with occasional field/site/vendor visits.
  • Prolonged periods sitting and working on a computer.
  • Must be able to lift 25 lbs.
