Reporting to the Foundation Finance Director, the Accounting Associate is responsible for supporting the daily financial and accounting operations of the Colorado Mesa University Foundation. This role ensures accurate processing of contributions, accounts payable, compliance reporting, and financial record maintenance while supporting campus partners and fundraising initiatives. The Accounting Associate also provides stewardship reporting support and assists with audit preparation and investment committee administration.
OVERVIEW AND ROLE SCOPE OF TEAM AND/OR TASKS
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Gift Processing & Receivables
Process all contributions, pledges, recurring gifts, payroll deductions, and online donations in a timely and accurate manner.
- Maintain detailed and accurate gift records within the Foundation database.
- Research and resolve incomplete or inaccurate donation information.
- Investigate and reconcile returned checks and credit card disputes.
- Manage credit card processing and allocate associated fees appropriately.
- Monitor outstanding receivables related to donor pledges and sponsorship commitments and follow up as needed.

Administer and track the Enterprise Zone tax credit program.
Accounts Payable & Compliance
Assist in processing accounts payable transactions, including invoice review, and coding of expenses. - Manage sales tax reporting and compliance requirements.
- Collect W-9 and process 1099 forms in accordance with IRS guidelines.
- Oversee expense compliance and internal account approval workflows.

Assist the foundation maintains full compliance with Council for Advancement and Support of Education (CASE) standards and requirements.
Financial Reporting & Campus Support
Serve as a financial resource to campus departments and students by accepting funds and providing financial statements and reports related to Foundation accounts. - Generate gift acknowledgment letters and stewardship documentation.

Support fiduciary reporting and ensure completion of stewardship requirements.
Audit & Administrative Support
Collaborate with the Financial Director to prepare materials for the annual audit and year-end financial reporting. - Provide support for additional accounting functions as assigned.

Coordinate administrative details for the Foundation Investment Committee.
Development & Fundraising & Scholarship Support
Partner with the Development team to support the financial processing of fundraising activities and events. - Generate invoices and provide receiving-side support for fundraising initiatives.

Assist as needed to scholarship team in busy times.

REQUIRED QUALIFICATIONS:
Bachelor's degree from an accredited four-year college or university in accounting, finance or related field. - Proficiency in Microsoft Office (Excel, Word, Outlook), with strong spreadsheet skills.
- A High level of accuracy, attention to detail, and organizational ability.
- Ability to lead, train, schedule and mentor student employees.

A valid driver's license is required.
PREFERRED QUALIFICATIONS:
Experience working in nonprofit accounting and/or higher education. - Experience with Financial Edge, Salesforce or similar accounting and donor management systems.

Knowledge of nonprofit compliance, audit processes, fund accounting principles, and donor receivables management.
