We’re looking for a Front Desk Lead who can confidently lead a team while overseeing the systems that keep the practice running smoothly. This role combines team leadership, operational oversight, and insurance billing management, ensuring both the patient experience and financial processes are handled with accuracy and accountability.

What You’ll Do (and Why It Matters)

This role is responsible for both leading the front desk team and overseeing key administrative and billing functions that keep the practice running efficiently.

You will:

  • Lead, coach, and support the front desk team to ensure consistency and excellence
  • Set the tone for patient interactions and overall office flow
  • Oversee scheduling to ensure accuracy, efficiency, and productivity
  • Oversee insurance billing processes, ensuring claims are submitted accurately and followed through appropriately
  • Monitor and support accounts receivable, including outstanding balances and payment follow-up
  • Ensure accurate documentation and communication related to insurance, billing, and patient financial responsibility
  • Work closely with the billing team and leadership to identify and resolve issues
  • Lead team huddles, one-on-ones, and department meetings
  • Participate in leadership meetings and contribute to office-wide initiatives
  • Assist with hiring, onboarding, and training new front desk team members
  • Identify opportunities to improve processes and increase efficiency
  • Step in as needed to support daily front desk operations

  • Are confident navigating insurance billing, patient balances, and financial conversations
  • Have experience with insurance billing and/or accounts receivable, or the ability to quickly learn and take ownership of these processes

  • Lead by example and hold yourself and others to a high standard
  • Value people—patients, vendors, and teammates alike—and reflect that in every interaction

Qualifications

  • High school diploma or equivalent
  • Experience in customer service and front desk operations required
  • Leadership or management experience required
  • Medical office experience preferred
  • Experience with insurance billing, payment plans, or accounts receivable strongly preferred
  • Strong organizational and communication skills required
  • Ability to multitask and prioritize in a fast-paced environment

Position Details

  • Monday–Friday (No weekends)

Education:

  • High school or equivalent (Required)

Experience:

  • HIPAA: 1 year (Preferred)
  • Medical scheduling: 1 year (Preferred)
  • Medical receptionist: 1 year (Required)
  • Customer service: 1 year (Required)
  • Leadership: 1 year (Required)

Ability to Relocate:

  • Williamsburg, VA 23185: Relocate before starting work (Required)
