Under the direction of an administrator or manager, performs a variety of routine clerical accounting duties in support of assigned accounts and functions, such as accounts payable and accounts receivable, and prepares and maintains a variety of financial and statistical records and reports.

Key Duties & Responsibilities
ESSENTIAL RESPONSIBILITIES
The following duties are typical for this classification. • Serves as an initial point of contact; answers telephones to provide assistance and information regarding accounting functions to staff, students, and the public in a courteous manner; communicates with personnel and outside agencies to exchange information and resolve routine accounting issues or concerns. *
• Processes accounts receivable as assigned; serves as cashier; balances cash register(s) and prepares bank deposits; collects, receives, codes, and verifies incoming monies; prepares and processes receipts; checks money totals against receipts and invoices to ensure accuracy; prepares and distributes bank deposits as required; prepares invoices and arranges for billings as directed. *
• Receives, processes, sorts, codes, and files purchase orders, claims, requisitions, and invoices as assigned; prepares and verifies invoices for payment and reconciles against purchase orders, checks, and receivables; maintains contact with vendors to modify and verify invoice details and/or concerns; identifies and resolves discrepancies; reviews requests and returns documents for appropriate authorization and expenditure codes. *
• Operates a variety of modern office computer equipment and peripherals, including but not limited to a calculator, copier, fax machine, computer software programs and applications related to the area of assignment. *
• Compiles, prepares, and maintains a variety of simple, routine financial and statistical records and reports related to a variety of accounting transactions, including but not limited to purchase orders, invoices, income, expenditures, advances, mileage, reimbursements, claims, grants, budgets and assigned accounts; prepares and reconciles statements and other financial documents. *
• Receives, reviews, and verifies a variety of accounting information; enters accounting data into an assigned computer system and/or database; initiates simple queries, updates spreadsheets, and generates a variety of standard computerized lists and reports; updates and maintains automated financial records; receives and enters scholarship credit memos; reviews student accounts to ensure correct reimbursements and balances; tracks, monitors, and updates student and retiree accounts. *
• Performs various clerical duties in support of assigned functions as required; prepares routine correspondence; duplicates and distributes materials; sorts and distributes mail. *
• Performs a variety of routine to moderately complex clerical accounting duties in support of assigned accounts and functions such as accounts payable and accounts receivable; reviews accounts for errors and makes appropriate adjustments. *
• Calculates, assembles, matches, sorts, tabulates, reviews, and posts a variety of financial and statistical data; reviews, adjusts, and verifies accuracy of ledgers and journal entries; balances, adjusts, and reconciles accounts; reviews data for accuracy and completeness. *
• Assists designated departments and programs in the maintenance and evaluation of budgetary records and data as assigned; monitors funds for income and expenditures; calculates, prepares, and revises budgetary data. *
• Performs related duties that support the overall objective of the position.
Minimum Qualifications
EDUCATION AND EXPERIENCE:
• Associate degree with coursework in accounting, finance, or related discipline; AND
• Two (2) years clerical and/or general accounting experience.
OR
• Any combination of education and experience which would provide the required qualifications for the position.
LICENSES AND OTHER REQUIREMENTS
• May be required to possess or demonstrate an ability to obtain a valid driver’s license, if driving is required as an essential responsibility of the position.
• May be required to travel for various off-site meetings, trainings, conferences, workshops, and/or events in support of the overall objective of the position.
