Under the direction of an administrator or manager, coordinates the day-to-day operations, workflow, and activities of the assigned programs and initiatives; provides services to students including but not limited to orientation, loan application assistance, progress monitoring, and the development of intervention strategies to enhance retention and academic success; ensures the safety and protection of students within Student Housing.

Key Duties & Responsibilities

The following duties are typical for this classification. Incumbents may not perform all of the listed duties and/or may be required to perform additional or different duties from those set forth below to address business needs and changing business practices. Essential responsibilities are designated by *.

 

Communicates effectively and courteously with others including students, administration, employees, parents, guests, and the public in a spirit of respect, teamwork and customer service. 

Partners and communicates with the District and/or College staff, co-signer for Student Housing agreements, and external agencies and organizations to coordinate activities; resolves issues and conflicts related to the area of assignment; exchanges information to update the Student Housing’s website pages and social media platforms. *

Assists with the development and monitoring of student success support programs. *

Assists with the preparation of crime statistics publication reports; maintains, enters, and updates information into an assigned database; partners with Title IX officer and public safety to ensure Clery Act crimes are properly recorded and reported as mandated. *

Serves as a technical resource to students regarding Student Housing expectations and requirements, financial aid, contract issues, daily living activities, payment plans, conduct processes, facilities use, and other student life or student housing functions. *

Processes Student Housing correspondence, including but not limited to applications and licenses; provides accurate payment contracts including financial aid, student unit loads, and any other additional costs, such as material fees and other related materials. *

Assists with student room assignments; reviews, updates, and maintains room charts. *

Prepares, updates, and maintains a variety of documents and record keeping related to the area of assignment, including but not limited to application processing, checkouts, correspondence, memoranda, forms, templates, reports, spreadsheets, presentations, charts, flyers, brochures, manuals, and other department materials. *

Assists with planning, coordinating, scheduling, and leading the summer team throughout the remainder of the academic year; coordinates and schedules the maintenance and preparation of Residence Hall housing including but not limited to cleaning, light repairs, assessment of damages, taking inventory and itemizing supplies, equipment, and furniture; assists in cleaning lines for summer camps. *

Organizes and manages the early arrival process for students returning early (Typically in August and January). 

Enters, updates, and maintains databases, computer software programs and applications related to the area of the assignment. *

Establishes, updates, and maintains a variety of files, file sharing, and filing systems. *

Attends and participates in a variety of meetings, trainings, workshops, and conferences related to the area of assignment. 

Trains and provides work direction to student assistants, student workers, and short-term, temporary staff. 

Participates as a member of the Housing and Student Life Team and in one on one meetings with the Director of Housing and Student Life.  

Serves as a resource and referral support to faculty, staff, parents and other college constituents.   

Performs related duties that support the overall objective of the position.

 

Minimum Qualifications

EDUCATION AND EXPERIENCE:

Associate Degree with coursework in sociology, psychology, social or behavioral sciences, or related discipline:  AND 

Two (2) years of administrative or program experience;

 OR

Any combination of education and experience which would provide the required qualifications for the position. 

 

DESIRED QUALIFICATIONS:

Experience working with high school or college-aged students.

• State, federal, and District organization operations, policies, procedures, and objectives related to the area of assignment as it pertains to California Community Colleges.

• California Education Code related to the area of assignment.

• Organization and operations of the assigned office and/or program area as necessary to assume assigned responsibilities.

• Customer service-oriented characteristics, services, and activities related to the functions, programs, and operations related to the area of assignment.

• Technical aspects related to the area of assignment.

• Referral agencies, services, and departments, on and off campus.

• Principles and techniques used in public relations, including methods and techniques of proper and effective communication, both verbally and in writing.

• General functions, policies, rules, and regulations of a community college.

• Applicable codes, regulations, policies, procedures, and laws.

• Family Educational Rights and Privacy Act (FERPA).

• Organizational operations, policies, and objectives.

• Record-keeping, record and file retrieval, filing, file sharing, and filing systems methods and techniques.

• Effective communication skills, both verbally and in writing.

• Modern office practices, procedures, and equipment.

• Correct English usage, grammar, spelling, punctuation, and vocabulary. 

• Interpersonal skills using tact, patience, and courtesy. 

• Operation of computers, software programs and applications, and hardware peripherals.

• Mathematic calculations.

• Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).

 

Ability to:

Independently perform the essential responsibilities of the position.

• Create and process Student Housing correspondence.

• Provide specialized assistance, training, and information to students, faculty, administrators, staff, and the public concerning assigned program area, functions, and resources.

• Assist with the development and monitoring of student success support programs.

• Serve as a technical resource to students regarding Student Housing expectations and requirements.

• Interpret, apply, and explain rules, regulations, policies, and procedures related to the area of assignment.

• Respond to requests and inquiries from students, staff, or the public.

• Effectively present technical information in person or on the telephone to students, staff, or the public.

• Understand, apply, and ensure compliance with administrative and office policies and procedures as well as pertinent laws, regulations, and ordinances.

• Maintain and learn new state and federal laws, rules, and regulations.

• Compile information to write reports, business correspondence, and department materials.

• Provide specialized assistance, training, and information to students, faculty, administrators, staff, and the public concerning the assigned program area, functions, and resources.

• Read interpret, apply, and explain complex rules, regulations, policies, and procedures.

• Research, compile, analyze, and interpret data.

• Respond to requests and inquiries from students, staff, faculty, management, and the public.

• Understand, apply, and ensure compliance with administrative and office policies and procedures. As well as pertinent laws, regulations, and ordinances.

• Exercise good judgement and discretion in analyzing and resolving confidential, difficult, and sensitive situations.

• Analyze situations accurately and adopt an effective course of action.

• Plan, coordinate, organize, and prioritize workload to meet schedules and timelines.

• Coordinate flow of communications and information as needed.

• Generate and prepare comprehensive reports related to the area of assignment. 

• Compose effective correspondence.

• Type or input data at an acceptable rate of speed.

• Answer telephones and greet the public courteously.

• Maintain a variety of records, logs, and files.

• Utilize a computer to input and/or extract data, maintain automated records, and generate computerized reports.

• Work independently with little direction.

• Communicate effectively both verbally and in writing.

• Determine appropriate action within clearly defined guidelines. 

• Add, subtract, multiply, and divide with speed and accuracy.

• Establish and maintain cooperative and effective working relationships with others during the course of work. 

 

Other Necessary Requirements

LICENSES AND OTHER REQUIREMENTS

This position requires occasional on-call, weekend, and evening hours.

Possession of or demonstrate an ability to obtain a valid driver’s license, if driving is required as an essential responsibility of the position.

May be required to travel for various off-site meetings, trainings, conferences, workshops, and/or events in support of the overall objective of the position.
