The Operations Coordinator oversees office operations and manages financial processes for student clubs within the Center for Student Leadership and Engagement. Key responsibilities include overseeing the annual student club registration and recognition process, coordinating office operations such as student employee scheduling, purchasing, and credit card reconciliation. The Coordinator is also responsible for monitoring budgets for over 60 student clubs as well as departmental budgets (programming, office, Council for Club Affairs, and Basecamp Orientation). Additionally, the Operations Coordinator will update and maintain the department website and online resources for student clubs.

The posted wage represents CSB and SJU's good faith estimate of likely compensation at the time of posting. Actual pay will be dependent upon several factors, including the candidate's experience, qualifications, and skills, and may fall outside of the range indicated.
Programming, Operations & Support
Provide administrative support for student programming, departmental events, new and transfer student orientation, and student governance groups (e.g., Council for Club Affairs).
Assist with vendor relations and contracting for large-scale events, including coordinating travel and lodging arrangements for vendors.
Coordinate procedures for solicitation, tabling, and equipment reservation requests.
Maintain and update the department website and online resources for student clubs; manage physical advertising and promotional efforts.
Manage equipment maintenance, storage, and usage systems.
Assist with recruitment, hiring, training, and supervision of student employees, including timesheet approval and monitoring of student employment reports.
Approve timesheets for the staff advisor to The Record (student newspaper).
Financial Management & Compliance
Act as purchasing agent, managing disbursements and approving departmental and club expenditures in compliance with institutional and IRS financial policies.
Oversee budget allocations and conduct annual and biannual budget reconciliations.
Train and support student leaders, club auditors, and treasurers on fiscal responsibility, tax compliance, and appropriate use of student activity fees.
Collaborate with and serve as liaison to CSB and SJU Business Offices, Athletic Departments, club sports teams, and student organizations to ensure consistent financial practices and compliance.
Support CSB and SJU Senate auditors in their work with student organizations.
Perform other duties as assigned.
Minimum Qualifications:
Bachelor’s degree or equivalent education and experience.
Proven experience in office operations.
Demonstrated experience in financial management, including budget oversight and expense reporting.
Proficiency in Microsoft Office Suite and other software applications; experience in web page design and institutional data software (e.g., Banner) is preferred.
Ability to manage multiple tasks effectively, working across diverse constituencies and administrative levels.
Excellent interpersonal, written, and verbal communication skills.
Demonstrated supervisory skills.
Strong organizational skills and attention to detail.
Proven ability to exercise sound judgement and discretion
Physical Requirements:
Ability to perform essential job functions, with or without reasonable accommodations.
Significant keyboard and computer use, prolong sitting, and occasional standing.
Ability to occasionally lift up to 25 pounds.
Travel Requirements:
Regular travel between the campuses of the College of Saint Benedict and Saint John’s University.
