Position Summary
The Accounting & Operations Administrator plays a key role in supporting the company’s financial, administrative, and day-to-day operations. This position helps maintain accurate records, streamlined workflows, and compliance with internal policies. Working alongside senior finance leadership, the role also contributes to client support, HR coordination, and process optimization. The successful candidate is organized, bilingual, and proactive in improving systems and procedures.
Primary Duties
- Compile, analyze, and assist in preparing financial data and management reports.
- Provide support for recurring accounting cycles, including month-end and year-end tasks.
- Create and manage client billing, verify agreements, record receipts, and assist with collections follow-up.
- Review and process supplier invoices, manage purchase order tracking, and prepare accounts payable summaries.
- Maintain professional communication with customers, vendors, and internal staff via phone and email.
- Support the preparation of proposals, service records, and operational documentation.
- Coordinate administrative aspects of employee and client onboarding and separation, including documentation control.
- Organize and maintain personnel files and assist with new hire paperwork.
- Support H-2B visa administrative processes by gathering, tracking, and coordinating required documentation.
- Identify opportunities to enhance accounting workflows and improve operational effectiveness.
Education & Experience
- Associate degree in Accounting, Finance, Business Administration, or related field required; Bachelor’s degree a plus.
- 1–3 years of experience in accounting, finance, or administrative support roles.
- Strong attention to detail and excellent organizational abilities.
- Clear and professional written and verbal communication skills.
- Ability to work independently, prioritize tasks, and meet deadlines.
- Experience using accounting software and Microsoft Office applications.
- Fluency in both English and Spanish required.
