Overview
We are seeking a dedicated and detail-oriented Vacation Rental Administrator to join our dynamic team. The ideal candidate will excel in managing various administrative tasks, ensuring the smooth operation of vacation rental properties, and delivering exceptional service to both property owners and guests. This role involves a mix of property inspections, clerical duties, vendor coordination, and customer interaction.
Key Responsibilities
Property Operations
- Conduct property inspections to ensure homes meet company standards.
- Oversee onboarding new properties, including documentation, listing setup, and PMS integration.
- Ensure properties comply with all local and state licensing requirements.
- Coordinate and schedule vendors for maintenance, repairs, and service needs.
- Manage monthly inventory of supplies and equipment.
- Oversee order management for property-related materials.
Administrative & Financial Tasks
- Process housekeeping invoices and streamline workflows
- Perform credit card reconciliation and assist with expense tracking.
- Prepare and print vendor checks.
- Complete clerical tasks such as filing, organizing, and maintaining accurate records.
- Perform monthly and annual audits to ensure all properties and operational areas are fully up to date with all compliance requirements.
Guest, Owner & Lead Engagement
- Oversee and support the development of our concierge program, coordinating services, vendors, and guest offerings to ensure a seamless and elevated guest experience.
- Manage social media engagement (primarily Facebook) to assist with lead generation and property promotion.
- Organize and host open houses for prospective renters or buyers.
Qualifications
- Previous administrative experience, preferably in vacation rentals or property management.
- Strong organizational skills with excellent attention to detail.
- Clear, professional communication skills—written and verbal.
- Proficiency with property management tools (Breezeway or similar preferred).
- Computer proficiency in Excel, Word, Adobe, DocuSign, and general office software.
- Ability to manage multiple tasks and prioritize effectively.
- Basic understanding of invoicing, credit card reconciliation, and financial processes.
- Experience using social media platforms for business purposes.
- High school diploma required; associate’s or bachelor’s degree in business or related field preferred.
Additional Requirements
- Reliable transportation for property visits and vendor coordination.
- Saturday availability preferred.
- Flexibility to work irregular hours, weekends, or holidays when needed.
Job Type: Full-time
Pay: $22.00 - $25.00 per hour
Expected hours: 32 – 45 per week
