Position Information

The purpose of this classification is to provide specialized administrative and clerical support to an assigned judicial office.

Essential Functions

Manages daily operations of assigned judge's office to facilitate proper court administration: assists judge with legal documents and research; prepares and maintains calendars; coordinates with Jury Administrator for the calling of required jurors; coordinates with Sheriff's office for the attendance of inmates; makes accommodations for media when necessary; and assists judge, attorneys, internal and external customers with courtroom proceedings as needed.

Coordinates the weekly court calendar, assigns court dates; creates, maintains and distributes calendar; verifies holidays and includes trials, motions and hearings; prepares and e-mail notices for calendar changes to all involved parties; interacts with parties regarding scheduling issues or conflicts; and appears in court for arraignment and calendar call.

Performs customer service functions by telephone, by mail, and in person: provides information and assistance regarding court activities, services, procedures, documentation, fees, case status/disposition, or other issues; reviews and accepts legal documents in accordance with court procedures and prescribed time frames; distributes forms and documentation; responds to routine and complex questions or complaints; researches problems/complaints; and initiates problem resolution.

Processes various court-related documentation in accordance with court procedures and time frames: assists in preparing, receiving, responding to, and processing subpoenas, court orders, hearings, continuances, bench and probation warrants, case initiation documents, case dispositions, citations, deeds, and/or other legal documents; receives and date stamps legal documents; distributes and submits information and legal documents to appropriate parties; reviews, verifies, records and files documentation and records; and creates spreadsheets and reports of activities. Coordinates the scheduling of courtroom personnel, such as bailiffs, interpreters, court reporters, clerks and deputies for all court hearings.

Serves as liaison between judge and attorneys, staff, litigants, other departments/agencies, and the general public: provides information regarding court calendars and proceedings; responds to mail, email and phone calls; and maintains high visibility and confidentiality.

Performs other related duties as assigned.

Minimum Qualifications

High School Diploma or GED is required, supplemented by vocational or technical training in administrative technology; supplemented by five years of experience providing administrative and clerical support in a legal environment.

Physical Abilities

Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or work station.

Sensory Requirements

Some tasks require the ability to communicate orally.

Environmental Factors

Essential functions are regularly performed without exposure to adverse environmental conditions.
