Front Desk/Support Staff - Part Time
Coastal Bend Neuropsychology (Private practice providing evaluations to patients with a variety of cognitive and emotional concerns)
Office Located at 4646 Corona Drive, Suite 258, Corpus Christi, Texas 78411
Hours needing coverage: Monday through Wednesday, 4 hours per day (tentatively 10:00am – 2:00pm) with the potential to expand to one additional day per week
Job Type: Part-time (approximately 12-16 hours per week)
Starting Pay: $15.00 per hour during training (with increase in pay following training period of approximately 4 weeks and additional increases in pay with further knowledge/autonomy over time)
Coastal Bend Neuropsychology is seeking to hire a Part-Time Front Desk/Support Staff individual to be the first point of contact for patients visiting the office or contacting us by phone to learn about services offered. Responsibilities include (but are not limited to) greeting patients upon their arrival; scanning documents as needed; answering questions about services by phone, text, email or in person; scheduling appointments; and, gathering information about new patients/possible referrals. Training will be provided.
The successful candidate needs to be organized, detail-oriented, and able to manage patients with a calm manner. We would like a candidate that can further our team’s work as we strive to maintain professional, kind, and trustworthy relationships with patients and referral sources. This is an in-person position only with NO plans for the position to become remote. This is a part-time position only with NO plans for the position to become full-time. Space and any needed equipment will be provided for candidate, with the space provided adjacent to office waiting area.
Responsibilities (include but are not limited to):
- Greet patients that arrive for appointments or drop by the office, gather any appropriate information, and answer questions about services
- Book and confirm appointments via phone or text messaging
- Collect information from new potential patients or referrals that call or drop in to the office
- Schedule and track appointments, future and present, utilizing Teams Calendar/Outlook
- Answer all incoming calls and texts, returning calls as needed
- Update patient contact and insurance information as needed
- Record and document phone calls (utilizing an in-house call log)
- Making copies and managing regularly-utilized forms
- Scanning or reviewing completed files; shredding as needed
- Preparing patient documents/files prior to appointments
- Maintain a tidy office space
- Be attentive to issues related to confidentiality/HIPAA
Skills/Experience Needed:
- Able to learn and follow already-established policies and procedures
- Good communication abilities (verbal, text, phone and email) with a customer service attitude
- Past work experience as a receptionist, front desk representative or similar role; some prior experience working in mental health preferred
- Knowledge of computer systems (including Office - Word, Excel, Outlook - and OneDrive/Office365), digital fax, and scanning
- Good and consistent organization and record-keeping skills
- An ability to remain calm under stressful circumstances
- High school graduate or equivalent (at least); some college preferred
Pay: $15.00 - $18.00 per hour
