Customer Service Representative (CSR) – SQF Certified WarehousePosition Overview:The Customer Service Representative (CSR) plays a vital role in ensuring seamless communication between customers, warehouse operations, and logistics teams. This position is responsible for handling customer inquiries, processing orders, tracking shipments, and ensuring compliance with Safe Quality Food (SQF) standards. The ideal candidate will have strong organizational skills, attention to detail, and a customer-focused mindset.Key Responsibilities:Customer Support & Order Processing:Serve as the primary point of contact for customers regarding orders, shipments, and service requests.Process inbound and outbound orders accurately and efficiently.Provide timely updates to customers on order status, inventory availability, and shipment tracking.Address customer concerns, resolve issues promptly, and escalate when necessary.Warehouse & SQF Compliance:Ensure that warehouse operations align with SQF, FDA, and company policies.Work closely with the warehouse team to ensure proper handling, storage, and shipment of goods per food safety requirements.Maintain accurate records of shipments, quality inspections, and non-conformance issues.Report and document any quality control or compliance concerns.Logistics Coordination:Schedule inbound and outbound shipments, ensuring on-time deliveries.Communicate with carriers, brokers, and warehouse teams to resolve delays or discrepancies.Ensure all required paperwork (BOLs, PODs, invoices, and compliance documents) is completed accurately and in a timely manner.Administrative & Data Management:Maintain detailed customer records in the warehouse management system (WMS).Assist in generating reports related to inventory, order fulfillment, and customer service metrics.Ensure all customer special instructions are documented and followed.Assist in managing dock schedules and coordinating warehouse activities.Qualifications & Skills:Preferred: Experience in a warehouse, 3PL, logistics, or distribution environment.Required: Strong customer service and communication skills (both verbal and written).Ability to multitask and work in a fast-paced environment.Familiarity with SQF, FDA, or other food safety regulations (preferred but not required).Proficiency in Microsoft Office (Excel, Word, Outlook) and warehouse management software (WMS).Strong problem-solving skills with a customer-first mindset.Ability to collaborate effectively with warehouse staff, drivers, and customers.Detail-oriented with a high level of accuracy in data entry and record-keeping.Work Schedule & Environment:Full-time position in a warehouse office setting.May involve working under tight deadlines, especially during peak shipping periods.Company DescriptionCoast Personnel Services is a privately held staffing company with offices across the United States.
