Nature of WorkThe Executive Assistant provides administrative support to the Director of Operations and Director of Programs & Planning, facilitating time management by coordinating access to the Directors for both internal and external needs. The position also assists in reporting and invoicing for departments managed by the Director of Programs & Planning (Horticulture, Community Cultivation, Facility Planning) Responsibilities· Manage all aspects of the Directors’ calendars, including setting appointments and organizing meetings.· Screen calls, maintain phone log (field and direct all phone calls for prompt response).· Prepare and review all reimbursements for business related expenses· Coordinate with Finance Department to generate monthly financial reports for departments.· Assist with invoice coding/tracking, cash disbursements and cash receipts to ensure accurate data entry, proper invoicing and timely payments [Horticulture and Community Cultivation Departments]· Assist on special projects, including weekly reports, monthly reporting to Board of Directors [Commercial Property, Horticulture and Community Cultivation Departments]· Draft, prepare and revise documents for public events and presentations· Correspond with vendors, contractors and tenants as needed, including but not limited to composing letters and memos and fielding billing and payment inquiries.· Maintain and update departmental files.· Support to main office staff as necessary. Minimum QualificationsEducation and ExperienceMinimum 3 years’ experience in secretarial and/or administrative assistance. BA preferred. Experience with property management and/or public events preferred but not required. Knowledge, Abilities, and SkillsProficiency and experience in MS Word, Excel, Outlook, and PowerPoint. Must be highly organized and able to work within competing timeframes. Must be able to work independently as well as receive directions from multiple staff. Excellent verbal and written communication skills. Salary : $60,000 - $70,000
