Opportunity Summary:
The Receptionist serves as the central point of coordination between patients and clinical staff, ensuring efficient front office operations and a positive patient experience. This role is responsible for patient check-in/check-out, maintaining accurate demographic and insurance information, scheduling, communication, and front-end billing support. The position ensures operational continuity so clinical, billing, and administrative teams can function effectively.

Essential Duties:
Patient Check-In / Check-Out & Front Desk Operations
- Greet patients and verify identity, demographics, and insurance information
- Collect copays, balances, and required documentation
- Notify clinical staff of patient arrival
- Schedule follow-up appointments and provide visit summaries
- Ensure accurate entry and updating of patient information in EHR/PM systems
- Maintain patient flow and minimize wait times
Insurance Eligibility & Verification
- Verify insurance eligibility prior to appointments via payer portals
- Ensure accurate insurance data entry to prevent billing errors and denials
- Troubleshoot discrepancies and communicate issues to billing staff
- Maintain compliance with insurance policies and procedures
Scheduling & Patient Coordination
- Manage appointment scheduling and clinic flow
- Coordinate virtual and in-person appointments
- Communicate with patients regarding appointment logistics, delays, or changes
Documentation & Pre-Visit Preparation
- Print, organize, and label patient paperwork prior to appointments
- Review records to ensure required documentation is completed
- Update patient-submitted information from online systems
Front-End Billing & Administrative Support
- Review front-end insurance denials and update information accordingly
- Process payments and maintain cash handling procedures
- Assist with medication-related documentation and distribution (as applicable)
As Needed:
- Assist at other clinic locations if required
- Support onboarding of new employees (e.g., insurance systems training)
- Answer incoming calls and assist with patient inquiries
- Provide coverage for other front desk roles when needed
- Assist with opening and closing duties, including facility readiness
Requirements:
- High School Diploma or equivalent
- 2 years customer service, clerical, or medical office experience

Preferences:
- Healthcare front desk experience preferred
Physical Requirements:
- Prolonged periods of sitting and standing at a front desk workstation
- Frequent typing, data entry, and use of a computer and phone systems
- Occasional walking throughout the clinic
- Ability to lift and carry up to 10–20 pounds (e.g., files, office supplies)
- Repetitive hand and wrist movements associated with clerical work
