What are the responsibilities and job description for the Patient Care Coordinator — Cleveland Center for Integrative Dentistry position at Cleveland Center for Integrative Dentistry?
About us
The Cleveland Center for Integrative Dentistry is a fee-for-service biological and holistic dental practice in Mayfield Village. Patients choose us — many traveling from across the region — for whole-person care that connects oral health to overall wellness. We don't bill insurance, chase claims, or run a volume practice. We take care of people.
The role
You are the patient's guide from treatment presentation through completed care. When the doctor presents a treatment plan, you make it happen: you explain the phases and investment, present financing options, answer questions with confidence, schedule the care, and follow up with every patient who says "let me think about it." You own treatment acceptance and follow-through — this is a relationship role with real responsibility, not a desk job.
What you'll do
- Sit in on treatment presentations; translate clinical plans into clear phases, timelines, and fees
- Present financial arrangements and financing options; secure commitments and collect payments
- Follow up within 72 hours with every patient who hasn't scheduled presented treatment
- Track outstanding treatment plans and report acceptance weekly
- Prepare superbills patients can submit to their own insurance for possible reimbursement
- Coordinate referrals to and from integrative practitioners; manage recall for treatment patients
- Maintain accurate records in our practice management software; escalate clinical questions to providers
What we're looking for
- 1–3 years in a dental front office or treatment coordination role (required); case presentation experience strongly preferred
- Genuine ease discussing significant treatment investments — you present value, you don't apologize for fees
- Interest in holistic and integrative health; you'll speak naturally about why patients choose this kind of dentistry
- Organized, persistent, and warm — the follow-up call is where you shine
- Dental practice management software experience (Eaglesoft, or similar)
Benefits
- Medical, vision, short-term disability, and life insurance
- In-house dental coverage for you and your immediate family
- 401(k) and paid vacation
- Paid training and professional development
Why this role
- Direct impact: your work determines whether patients complete the care they need
- A practice where treatment decisions are clinical, not insurance-driven
- Small doctor-led team, loyal patient base, no corporate overlay
Pay: $22.00 - $26.00 per hour
